Job Description

The Project Coordinator supports the team in the execution and closeout of assigned projects. This position plays an integral role in maintaining project organization, communication, and documentation, ensuring successful coordination between internal teams, subcontractors, vendors, and clients. Responsibilities include managing workflows, pay applications, submittals, change events, and closeout documentation. The Project Coordinator contributes to the delivery of high-quality, compliant, and on-time project outcomes in alignment with SitelogIQ’s operational standards.

The salary range is $60,000-$80,000. The salary may vary within the range based on factors such as location of the role, and a candidate’s experience, knowledge, skills, and abilities.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Construction Administration

  • Serve as the administrative lead for assigned projects in the construction and closeout phases, ensuring organization, communication, and documentation are maintained throughout the project lifecycle.
  • Prepare, track, and coordinate submittals, ensuring timely review and approval by project stakeholders.
  • Manage and process pay applications, invoices, and related financial documentation.
  • Track and assist with change events, including collection, review, and entry into project management systems.
  • Maintain accurate and consistent use of project templates, workflows, and directories in Procore.
  • Participate in and document weekly project meetings, including preparing agendas, taking meeting notes, and distributing correspondence to stakeholders.
  • Coordinate scheduling and organization of weekly meetings for active projects.
  • Facilitate communication between Construction Project Managers, subcontractors, and clients to ensure deliverables are achieved.

Project Workflows & Coordination

  • Manage project workflows and maintain up-to-date project information in Procore.
  • Support project managers in tracking deliverables, submittal logs, and other project documentation.
  • Assist in scheduling and coordination of field activities, as needed.
  • Maintain consistent documentation practices and ensure compliance with company standards and client requirements.
  • Ensure timely follow-up on outstanding items and drive accountability for project action items.
  • Assist in the review of project documentation to ensure accuracy and completeness.

Closeout & Documentation

  • Assist in the project closeout process following internal procedures
  • Support Project Management Teams in preparing final documentation packages and turnover to clients.

Collaboration & Communication

  • Maintain clear and professional communication with project stakeholders, including internal teams, subcontractors, vendors, and clients.
  • Provide proactive updates to the Construction Project Manager regarding progress and outstanding items
  • Participate in internal and external project meetings as required.
  • Promote teamwork, accountability, and a positive work culture aligned with SitelogIQ’s values.

QUALIFICATIONS & EXPERIENCE

  • Minimum 1 year of experience in construction project coordination, administration, or related project support roles.
  • Additional certifications that exemplify a desire for continued education
  • Proficiency in Microsoft Office (Word, Excel, Outlook, Microsoft Teams)
  • Proficiency in Procore, AIA software, DocuSign preferred
  • Excellent written and oral communication skills
  • Collaborative working style and team-player attitude
  • Outstanding organizational skills and ability to prioritize tasks
  • Able to thrive in a high-volume, deadline-driven work environment
  • Ability to focus on multiple tasks and projects
