Job Description:
The Director of Banquet Setup oversees all aspects of banquet floor operations, ensuring events are executed flawlessly from setup through breakdown. This role leads the banquet setup team, manages inventory and equipment, coordinates with Catering & Banquet leadership, and ensures that all event spaces meet brand, safety, and client standards.
- Direct all banquet and convention setup operations to ensure event spaces are set accurately, safely, and on time per BEOs/MEOs, approved layouts, and property standards.
- Lead daily execution for multiple concurrent events, including room turns, resets, and last-minute changes; serve as the escalation point for setup execution issues.
- Partner with Catering and Convention Services, Banquets, Culinary, Stewarding, AV, Engineering, Security, and Loading Dock/Receiving to align timelines, access, and operational readiness.
- Own labor planning and deployment for the setup operation, including schedules, daily staffing adjustments, productivity expectations, and labor cost control to meet business targets.
- Lead effectively in a union environment, ensuring compliance with the Collective Bargaining Agreement (CBA), correct job utilization/classifications, break/meal compliance, and coordination with union leadership as needed.
- Develop and lead setup leadership (supervisors/leads) through coaching, training, clear standards, and accountability; support hiring, onboarding, and coverage planning for peak periods.
- Ensure compliance with safety and regulatory requirements (fire/life safety, egress/capacity, staging and equipment safety); lead incident prevention and corrective-action follow-up.
- Oversee setup equipment, inventory, and storage operations (tables, chairs, staging, etc.), including condition standards, loss/breakage controls, and preventative maintenance coordination.
- Track and report key performance metrics (on-time readiness, setup accuracy, labor/overtime, safety incidents, equipment loss/breakage) and drive continuous improvement.
- Maintain working knowledge of fire codes and regulations as they apply to assembly occupancies and group events.
- Ensure the facility operates smoothly and remains compliant with applicable county safety codes and health requirements.
- Prepare and submit banquet floor plans in accordance with Fire Marshal guidelines for events of 300+ attendees; submit plans to CCBD and manage associated escrow account funds as required.
- 7+ years of progressive banquet/convention setup experience in a high-volume hotel, resort, casino, or convention environment, including 3+ years leading supervisors/managers (director-level leadership preferred).
- Demonstrated success leading teams in a union environment with working knowledge of CBA requirements and labor compliance.
- Strong proficiency with Delphi (or comparable event system), including the ability to review and execute BEOs/MEOs accurately and manage updates/changes in a fast-paced environment.
- Proven ability to plan and control labor: scheduling, deployment, productivity standards, overtime management, and timekeeping/payroll accountability.
- Strong operational knowledge of room sets, equipment handling, and event logistics; ability to coordinate multiple departments and vendors to meet deadlines.
- Working knowledge of venue safety and compliance requirements (fire/life safety, capacity/egress, staging and equipment safety).
- Working knowledge of various diagraming software i.e. Social tables, Amadeus Diagraming solutions and or AutoCAD.
- Valid Southern Nevada Health District (SNHD) Food Handler Safety Training Card required.
- Strong communication, leadership, and problem-solving skills with the ability to remain effective under pressure and frequent change.
- Proficiency with Microsoft Office (Excel, Outlook, Word); comfortable using metrics and reporting to manage performance.
- Ability to work a flexible schedule including early mornings, late nights, weekends, and holidays based on business needs.
- Education: High school diploma/GED required; bachelor’s degree preferred or equivalent combination of education and experience.
