Description
This part-time Staff Associate provides administrative support for the Coordinated MS in Nutrition and Dietetics program and plays a crucial role in ensuring the smooth and efficient operation of academic and administrative functions for the program. Responsibilities include managing student records, coordinating communication with faculty and students, and assisting with event planning and logistics. Meticulous attention to detail and excellent organizational skills will be essential in supporting the program's overall success and fostering a positive academic environment.
Position Duties
- Schedules appointments and meetings; prepares meeting agendas and takes minutes.
- Provides support for faculty including travel and lodging arrangements; processes bills or expenses, purchasing and payment requests, equipment repairs and classroom needs.
- Provides support for event planning, production and marketing recruitment activities such as open houses, student orientation, pre-commencement recognition and award ceremonies, graduation, research presentations, and special events.
- Assists with exam administration preparation, proctor scheduling and oversight, tracking and securely maintaining copies of exams.
- Assists in completing and updating Course Forms.
- Serves as a liaison between the Program, and the University Offices such as Office of Graduate Admission, Enrollment Management, OSA, Financial Aid Office, Libraries, etc.
- Maintains accurate and complete files on programs and students, including purging outdated files.
- Timely communicates to students and faculty/staff of any operational changes such as classes postponed, cancelled, changed, instructor absences, etc.
- Advises students on how to navigate university academic and student support systems.
- Acts as liaison for Student Associations, and other special student programs, among faculty/staff, and university offices and students.
- Provides information to prospective students on Nutrition and Dietetics academic program, admission requirements, policies, and procedures; timely responds to telephone, e-mail, and other inquiries requesting information on the program and profession.
- Arranges for admissions interviews, maintains interview records, and computes interview and admission data and generates enrollment reports.
- Assists in program’s accreditation preparation such as distributing survey, collecting, reviewing, and entering data, as well as developing documents for Self-Study.
- Monitors Talent Acquisition site for faculty and adjunct applications and acts as liaison with HR department throughout hiring and onboarding process.
- Coordinates and assists administration of a variety of recurring activities and non-recurring projects.
- Maintains inventory of equipment including equipment used in class, and office supplies and assessing the needs of the department monthly.
- Ensures that copies are made as needed for classes or special events.
- Provides support to PT Staff Associate dedicated to Clinical Coordination responsibilities.
- Performs other such duties as may be assigned from time to time.

Supervises student workers/graduate assistants.
Position Qualifications
- Minimum of an associate degree; bachelor’s degree strongly preferred.
- Minimum of three years of experience as an administrative assistant, preferably in an institution of higher learning.
- Effective professional interpersonal skills including excellent verbal and written communication skills.
- Excellent organization and time management skills and meticulous attention to detail.
- Can set priorities and meet expected deadlines.
- Discretion required in terms of privacy of student educational records and clinical clearance information.
- Proficient in computer applications, specifically, Microsoft Office Suite including Microsoft Word, Excel, Access, Publisher, PowerPoint, and Outlook. Experience with Brightspace (Classes) and Banner is a plus.
- Ability to function independently and initiate projects when necessary.
- Ability of function efficiently in highly demanding environment.
Work Hours
Exact hours to be determined with supervisor; generally up to 20 hours per week.
