What You’ll Do

As an Operations Associate, you will play a critical role in keeping our tax and financial services firm running smoothly by supporting daily administrative and operational functions. You will help maintain efficient workflows, deliver excellent client service, and ensure seamless coordination between our professional staff and leadership team. In this role, you will manage multiple priorities in a fast-paced, deadline-driven environment, using your strong organizational skills and attention to detail to keep processes accurate and on track. Your proactive, reliable approach and clear communication will make a meaningful impact on both our team’s success and the experience we provide to our clients.

  • Administrative & Office Support: Provide comprehensive administrative support, including answering phones, greeting clients, managing mail and shipments, scheduling meetings, and keeping office supplies organized and fully stocked.
  • Workflow & Process Management: Coordinate the intake, tracking, and delivery of client work using firm software, including tax returns and financial reports. Manage electronic and paper tax return delivery, oversee client signatures through tax software, handle e-filing and status tracking, and follow up with clients as needed. Monitor workflow progress and communicate with team members to ensure deadlines are met.
  • Client Service & Communication: Serve as a primary point of contact for clients on administrative matters, document submissions, and appointment scheduling, maintaining a high level of professionalism and confidentiality.
  • Documentation & Data Management: Enter and manage client data while maintaining accurate electronic and physical filing systems, ensuring documentation meets firm policies and industry regulations.
  • Technical Support & Coordination: Act as a liaison with IT for basic troubleshooting of office equipment and software and assist with onboarding and setup for new employees.
  • Billing & Finance Support: Support the finance team with billing tasks, including expense tracking, invoice processing, and report generation as needed.

What You’ll Bring

  • Education: You have a high school diploma or equivalent; an associate’s or bachelor’s degree in business administration, Finance, or a related field is preferred.
  • Experience: You bring 1–3 years of experience in an administrative, operational, or client service role, ideally within a professional services, finance, or tax environment.
  • Technical Skills: You are proficient in Microsoft Office Suite (Word, Excel, Outlook), have strong typing skills, and are comfortable using client management (CRM) or workflow tracking systems. Experience with CCH Axcess or similar tax software is a plus.
  • Attention to Detail: You demonstrate exceptional accuracy when managing data and client information.
  • Organizational Skills: You effectively manage multiple priorities, projects, and deadlines in a fast-paced environment.
  • Communication: You have strong written and verbal communication skills and maintain a professional, client-service-oriented approach.
  • Problem-Solving: You anticipate needs, resolve administrative challenges efficiently, and work independently with minimal supervision.

Preferred Qualifications

  • You have prior experience working in a CPA or public accounting firm.
  • You are familiar with CCH Axcess or a comparable tax software suite.
  • You have experience with implementing new technologies, AI-driven workflows, or process improvements.
  • You are available and flexible to work additional hours during peak tax season (January through April).
