Job Description


Position Summary:



The Endoscopy Scheduler – LPN schedules all surgical procedures and assures that all the appropriate clinical and insurance coding information has been relayed to the authorization team and endoscopy staff. The ES LPN will also perform preoperative nursing interview with patients scheduled for procedures in the Endoscopy Suite; to include, but not limited to; allergies, health history, surgical and anesthesia history, current medications, and any other pertinent medical information. The ES LPN will plan, provide, supervise, and document professional nursing care utilizing the nursing process for patients in accordance with physician orders and established policies and procedures. The ES LPN receives requests to schedule procedures from physician offices and schedules the procedure according to established guidelines. Scheduler calls patients with preop arrival times and reviews preop prep instructions and need for driver on day of procedure.  Scheduler provides accurate information so that all departments may view daily and maintains open communication with hospital departments and physician offices regarding schedule changes.



Qualifications:



Education:




  • High school diploma or equivalent is required

  • Previous scheduling experience in a health care environment is preferred (e.g. physician office, clinic, or hospital)

  • Experience in customer service is desirable.

  • Knowledge of medical terminology and familiarity with medical diagnostic procedures, and health care billing and authorization is preferred.

  • Strong computer skills being familiar with Word, Windows, and Cerner.

  • Must have excellent organizational skills and be detail oriented.

  • Must be highly skilled in verbal communication, problem solving, prioritization and organization.

  • Knowledge of HIPAA/Confidentiality



Licensure/Certification/Registration




  • Licensed Practical Nursing License required (LPN)

  • Basic Life Saving (BLS) certification required.



Duties & Responsibilities:




  • Schedules endoscopy procedures using Cerner Scheduling Appointment Book and Cerner Powerchart.

  • Manages Cerner Inbox messaging as well as phone call or fax requests for cancellations, add-ons, or regularly scheduled procedures.

  • Works extremely close with authorization team and clinical teams to ensure insurance is verified and up to date, as well as identifies patients that are self-pay or charity care. Ensures auth team and clinical team are aware of self-pay or charity care patients having a payment plan in place prior to day of procedure.

  • Interacts and communicates with physician offices and hospital departments in a professional and courteous manner.

  • Communicates any schedule blocks, changes, or procedural days off to pertinent hospital departments and physician offices.

  • Works in tandem with inpatient hospital units for inpatient add-on procedures, updating scheduling notes regarding clinical call outs effectively.

  • Attends all departmental meetings and is involved in meetings with hospital departments and physicians’ offices to improve communications and/or inform others of any changes to scheduling processes.

  • Arranges patient arrival times and preop instructions, calling patients and patients’ families to relay this information in a clear-to-understand and direct manner, documenting this information was given to patient/patient family in patient medical record. 

  • Works closely with the Endoscopy Director to ensure schedule efficiency of time blocks for providers as well as coverage from anesthesia contractor.
