GENERAL DESCRIPTION:



Serve as counselor to Client/Guarantors in all administrative and financially related matters by performing a variety of administrative and clerical tasks from client admission, scheduling through clients’ final discharge.  Primary responsibilities are to schedule and perform client admissions, to identify the account Guarantor and establish financial responsibility to assure that all client charges are satisfied in a timely manner, to work closely with Client/Guarantor and agency staff in matters of orientation to agency, funding sources, collections, etc: To provide backup to the Central Registration Receptionist and Cashier when needed.  All work is performed in accordance with established systems, policies, and procedures to maintain confidentiality.



 



DUTIES & RESPONSIBILITIES:



Service




  • Greet and check in clients and/or visitors.

  • Schedule client appointments.

  • Verify insurance for clients and explain benefits to them.

  • Perform daily reminder calls no less than 24 hours and no more than 48 hours in advance of each appointment scheduled.  Document telephone contacts in the electronic medical record.

  • Send reminder letters no less than 7 days in advance of each appointment scheduled.

  • Manage walk-ins.

  • Back-fill schedule for no shows and cancellations.

  • Meet with all clients at the time of intake/registration to complete necessary forms, explain payment responsibility and set up payment plans when needed.

  • Confirm insurance coverage for open clients.

  • Call for authorizations for initial visits.

  • Schedules and performs client admissions.

  • Assures Client/Guarantor is informed of documentation required for appointment.

  • Monitor client third party eligibility.

  • Perform a financial evaluation to determine ability to pay for service.

  • Assures application is submitted for assistance through Medicaid, SSI, or other government assistance programs for which clients may qualify.

  • Assures all clients charges are satisfied in a timely manner.

  • Monitor account status of a client caseload.

  • Update Client/Guarantor information every 90 days.

  • Complete pre and post audits.

  • Balance cash drawer daily.

  • File, copy, order and restock supplies for the department and maintain the work station. 

  • Other responsibilities and tasks as may from time to time be assigned.



GENERAL




  • Conduct all professional activity in an ethical manner.

  • Conform to all applicable policies and procedures of Edgewater Health.

  • In conjunction with other staff assist in identifying and eliminating any situation which jeopardizes the health and/or safety of clients, staff, or others who meet community mental health center operations.

  • Utilize literature, workshops and other training aids to continually improve administrative skills.

  • In conjunction with supervisor, complete and implement Individual Professional Development Plan.

  • Assist in assuring Edgewater’s compliance with all related licensing and accreditation requirements.

  • Keep department client list.

  • Twenty-four (24) hour reminder calls

  • Track 30-day list for clients not seen

Qualifications


MINIMUM QUALIFICATIONS:



Education - High school graduate or equivalent one to two years college credits desirable



Experience – One to two years experience in a health care provider facility with registration, Third Party Billing and collections experience required.



Other - Proficiency in Windows environment is strongly desired.  Other combinations of additional training and relevant experience may be considered.
