Description
We are seeking a dynamic, detail-oriented, and forward-thinking Human Resources Coordinator to join our Human Resources team. This role is ideal for someone who has strong working knowledge of HR practices, enjoys supporting employees and candidates, and thrives in a fast-paced, mission-driven environment.
The Human Resources Coordinator will serve as an important point of contact for HR-related questions, onboarding support, employee records, compliance tracking, unemployment claims, insurance documentation, safety committee participation, and general HR administration. This individual must be highly organized, professional, confidential, and comfortable balancing multiple priorities while providing excellent service to employees, candidates, managers, and external partners.
The ideal candidate is a team player who brings initiative, sound judgment, strong administrative skills, and a willingness to support both day-to-day HR operations and broader compliance needs.
What You'll Do:
- Respond to internal and external HR-related inquiries and requests, providing timely assistance or directing matters to the appropriate HR team member.
- Support candidates and new hires throughout the onboarding process to ensure a smooth and organized transition into employment.
- Maintain accurate personnel-related data in HRIS system.
- Ensure employee files are complete, accurate, and compliant with IDPH and other applicable state requirements.
- Handle unemployment claims, including gathering information, preparing responses, maintaining records, and coordinating with appropriate parties as needed.
- Assist with HR compliance reporting, including EEO-1 reporting, Illinois Equal Pay Act reporting, and other required filings.
- Provide certificates of insurance as requested.
- Support insurance-related matters, including auto accident documentation, vehicle insurance, property insurance, and coordination for newly acquired vehicles or properties.
- Serve as a member of the Safety Committee and assist with safety-related documentation, tracking, reporting, and follow-up.
- Maintain confidentiality when handling employee information, agency records, claims, and compliance-related matters.
- Provide general administrative support to the Human Resources Department.
- Assist with special projects and other HR-related duties as assigned.

Qualifications:
- Bachelor’s degree in Human Resources, Business Administration, or a related field preferred; equivalent experience may be considered.
- Previous experience as an HR Assistant, HR Coordinator, or in a related administrative HR role.
- Working knowledge of HR practices, onboarding, employee records, compliance, and general HR administration.
- Experience using an HRIS system required; Paylocity and/or UKG experience strongly preferred.
- Strong Microsoft Office skills, including Word, Excel, PowerPoint, and Outlook.
- Excellent verbal and written communication skills.
- Strong interpersonal skills and ability to work professionally with employees, candidates, managers, vendors, and external agencies.
- Ability to handle confidential and sensitive information with discretion and integrity.
- Strong organizational, time management, and follow-through skills.
- Excellent attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
