Job Description

A multinational company operating in the chemical supply sector is looking to strengthen its team in Portugal with the addition of a Logistics Administrative professional.


Key Responsibilities:

  • Manage and monitor the full sales and purchase cycle of transactions.
  • Purchasing: Coordinate with suppliers regarding purchase orders, product availability, loading instructions, booking slots, and ensure receipt of all required documentation.
  • Sales: Liaise with customers to ensure timely delivery, correct packaging, and provision of all necessary documentation for smooth unloading, in accordance with the sales contract.
  • Prepare and issue documentation as per contractual requirements, including:
    • Sales invoices
    • Certificate of Analysis (CoA)
    • Delivery notes / Packing lists
    • Insurance certificates (for CIF shipments)
    • Transport documents: Bill of Lading (B/L) or CMR (for road transport)
    • Certificate of Origin (COO)
    • ATR, EUR1, Excise documents
    • Legalization of documents via embassies and/or chambers of commerce
  • Book and follow up on transport orders with designated logistics partners.
  • Coordinate warehousing operations, including inbound/outbound logistics, storage, repacking, filling, and labeling.
  • Communicate with customs agents and follow up on import/export declarations.
  • Perform quality assurance by verifying supplier CoAs against sales specifications.
  • Issue purchase orders for all services and validate incoming invoices related to customs, demurrage, transport, and storage.
  • Report claims to the designated HSEQ contact.
 

Requirements:

  • Strong communication and organizational skills.
  • Previous experience in a similar role within the import/export or logistics sector.
  • Fluency in English (spoken and written).
