Responsibilities:
  • The essential functions and duties listed below are representative of the common administrative tasks performed. This list is not all-inclusive of tasks performed and may vary based on the needs of the Supervisor.
  • Perform scanning and filing duties.
  • Assist Event Run of Show for all Corporate Events.
  • Assist with event software.
  • Processing and tracking of Regional Office Social Events.
  • Tracking of receipts and assistance with monthly Event Concur Expense Reports.
  • Compile monthly corporate and individual membership expirations and provide information to Event Team Business Partners.
  • Follow and gather automatic payments for subscriptions.
  • Preparation for internal corporate events and client receptions (name badges, tent cards, checklists, etc.).
  • Meeting Minutes.
  • Assistance with breakfast and lunch orders various meetings.
  • Dinner reservations.
  • Assist in preparing mail and outside packages for delivery. This may include shipping of conference materials to ensure timely delivery.
  • Prepare, proof-red, finalize, and assist with agendas, memos, email correspondence with vendors and internal clients.
  • Assist with BST, Concur, and Unanet tasks (timesheets, expenses, event set up as assigned.
  • Assist with submitting and receiving deliverables via various processes and procedures.
  • Complete additional tasks as needed.


Qualifications:
  • Associates/Vocational or related training education.
  • 1-3 years of related office experience.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to prioritize and multi-task.
  • Proficient in Microsoft Office Suite/O365 applications.
  • Ability to problem-solve.
  • Resourceful and proactive.
  • Display professionalism in handling sensitive and confidential information.
  • Ability to identify, analyze, communicate, and implement process improvements.
  • Ability to support remote management and staff.
  • Ability to read, write, and understand English for purposes of comprehending written job-related communications and verbal instructions and interactions.
  • Ability to multi-task in a fast-paced environment.
  • Experience with EventCreate software a plus.

Compensation: $19.67 to $28.92 per hour (depending on qualifications)
