Mandate
The Coordinator, Scheduling is responsible for academic course and final exam scheduling, classroom space bookings, and scheduling within the Office of the Registrar and Enrolment Management (OREM). This position is responsible for the supervision, scheduling, training, and operational oversight of a team of Scheduling Clerks. By fostering consistent standards and collaborating across departments, the Coordinator provides service excellence to students, faculty, staff and external booking requests.
Objectives
- Lead and support a team delivering on scheduling priorities for the university.
- Manage the recruitment, training, and professional development of scheduling clerks to ensure consistently high levels of service and on-time publication of academic course and exam schedules throughout the academic year.
- Serve as the point of escalation for any scheduling-related issues, resolving operational and institutional concerns swiftly and appropriately.
- Maintain accurate scheduling records and statistics to support planning, reporting, and continuous improvement.
- Collaborate with OREM, faculty, and other departments to ensure scheduling services are aligned with strategic plans and institutional priorities.
Evening and weekend work may be required during peak periods.
This position requires a level of education, training, and experience equivalent to a Bachelor’s degree plus a minimum of three years of relevant experience in a post-secondary setting, including team supervision and program coordination. An equivalent combination of education, training, and experience may be considered.
Knowledge, skills, and abilities:

- Deep understanding of scheduling within a postsecondary environment, including academic courses, final exams, and other events.
- Knowledge of postsecondary systems, structures, operations, practices and processes
- Demonstrated experience with student information systems such as Banner and FAST, course and exam scheduling software such as Infosilem, as well as advanced knowledge of Microsoft Office applications, with the ability to support and train staff using these systems.
- A high level of understanding regarding the work of a Registrar’s office in a post-secondary environment.
- Strong leadership abilities with a collaborative and motivating style.
- Proven experience designing and delivering effective training programs.
- •Excellent organizational, time management, and problem-solving skills.
- High attention to detail and accuracy in documentation and scheduling.
- Ability to build and maintain positive relationships across diverse teams and populations.
- Comfort working in a unionized environment and familiarity with collective agreements.
- Ability to work evenings and weekends as needed.
- Ability to input data with a high degree of accuracy while managing frequent interruptions.
- Ability to conduct research, write reports, and make recommendations.
- Ability to move cartons of paper up to 20kg in weight.

Salary posted will be pro-rated based on FTE and achieved as per the collective agreement, if applicable.
