Diamond Processing Associate



Full-Time | In-House | New York, NY

 

A leading auction house in New York City is seeking a highly organized, proactive, and driven Graduate Gemologist, or similar, to join our fast-paced and collaborative team.  This full-time, in-house role plays a critical part in preparing diamonds for our monthly auctions. We are looking for someone who takes initiative, thrives in a structured environment, is highly computer literate, and is eager to learn and grow within the diamond and auction industry.

This position is ideal for a detail-oriented professional who takes pride in accuracy, operates with a strong sense of ownership and accountability, and is motivated to develop their expertise and responsibilities over time.

 

Position Overview

Reporting to the Processing Team Manager, the Processing Associate will support the intake, evaluation, and preparation of inventory for our Melee and Single Stone Auctions.  The ideal candidate is exceptionally organized, proactive in identifying and resolving issues, comfortable working with data and internal systems, and committed to maintaining precise operational standards.

 

Key Responsibilities



  • Receive and process incoming diamond inventory for upcoming auctions
    • Maintain accurate tracking of all inventory using internal databases and systems
    • Assist in catalog creation, ensuring precise and complete data entry of all submission details
    • Coordinate with internal teams on auction logistics, timelines, and inventory readiness
    • Conduct preliminary gemological assessments, including color and clarity grading, diamond testing, Sarin measurements, and treatment checks
    • Recommend stones for third-party certification when appropriate
    • Coordinate shipments to and from clients before and after auctions
    • Perform quality control checks to ensure accuracy and completeness of all records
    • Proactively identify discrepancies, missing information, or operational inefficiencies and help resolve them
    • Handle all inventory with a high level of professionalism, discretion, and care
    • Support continuous improvement of internal processes and tracking systems
    • Deliver professional and courteous service to clients and trading partners

 

Qualifications



  • Graduate Gemologist (GG) preferred; Graduate Diamonds or AJP designations also considered
    • Proficiency in grading loose diamonds (color and clarity) preferred
    • Highly organized with exceptional attention to detail and accuracy
    • Strong computer skills, including comfort working with databases, spreadsheets, and internal systems
    • Proactive and self-motivated, with the ability to anticipate needs and take initiative
    • Ability to manage multiple priorities in a deadline-driven environment
    • Excellent written and verbal communication skills
    • Demonstrates professionalism, integrity, and sound judgment when handling valuable inventory
    • Positive attitude and genuine interest in learning and growing within the industry
