Description

Primary Function:

The Proposal Coordinator supports the full proposal lifecycle for government and commercial contract opportunities. Working under the direction of the Proposal Manager, the Proposal Coordinator is responsible for coordinating proposal development activities, managing schedules and deadlines, maintaining compliance with solicitation requirements, ensuring timely delivery of high-quality proposal submissions, and supporting post-award deliverable management and program execution. This role requires strong organizational skills, attention to detail, program management acumen, and the ability to manage multiple competing priorities in a fast-paced environment.

 

Essential Responsibilities:

  •          Coordinate proposals from kickoff through submission
  •          Develop and manage schedules, deadlines, and action items
  •          Review RFPs, RFIs, SOWs, and PWS documents for requirements and compliance
  •          Build and maintain compliance matrices
  •          Assemble, format, and finalize proposal volumes (ensure adherence to page limits, formatting, and submission instructions)
  •          Manage version control and document libraries (past performance, resumes, boilerplate)
  •          Coordinate proposal reviews (Pink Team, Red Team, Gold Team) and track comment resolution
  •          Manage submissions via SAM.gov, email, or portals and confirm receipt
  •          Track and manage post-award deliverables (CDRLs), including DD Form 1423 and DIDs
  •          Submit deliverables through WAWF and EDA; track acceptance and resubmissions
  •          Support Integrated Master Schedules (IMS), program reviews (PMRs, IPRs), and reporting
  •          Track risks, issues, and action items; support program execution

 

Requirements

  •          Bachelor’s degree in English, Communications, Business, Program Management, or related field
  •          2+ years of experience supporting proposals or program coordination in government contracting
  •          Working knowledge of FAR-based solicitations and federal acquisition processes
  •          Experience with CDRLs, DD Form 1423, and Data Item Descriptions (DIDs)
  •          Proficiency in Microsoft Office (Word, Excel, PowerPoint), SharePoint, and Adobe
  •          Experience with scheduling tools (e.g., Microsoft Project)
  •          Strong organizational, communication, and multitasking skills

 

Preferred Skills:

  •          Experience with proposal tools (e.g., GovEagle)
  •          APMP certification (or in progress)
  •          PMP certification (or pursuing)
  •          Familiarity with SAM.gov, FPDS, USASpending.gov, WAWF, and EDA
  •          Experience supporting DoD, federal, or IT services contracts
