CORPORATE ADMINISTRATION 

Serving those who serve others � Supporting over 120 social service programs with responsive administrative efforts.  The Accounts Payable team (AP) is responsible for the timely validation and payment for goods and services received.  The team works in close coordination with the Accounting Staff and the staffs of the numerous programs supported.  

JOB SUMMARY AND PURPOSE 

A share position between the Accounts Payable Department and the Senior Property Manager. The Accounts Payable Specialist, Senior � Tax and Compliance handles complex vendor accounts and assists the Property Service Manager in reviewing, submitting and following up with VOALA property taxes. In addition to working with the AP department in resolving vendor issues to perform timely processing of invoices for payment.  Communicates with program personnel and vendors to reconcile problem invoices, the AP Specialist, Senior supports the efforts of junior AP staff. 

DUTIES AND RESPONSIBILITIES

The Accounts Payable Specialist, Senior � Tax and Compliance:

  • Monitor and respond to funder, governmental, and regulatory agencies regarding tax and compliance issues, including payroll, property and non-property related issues.
  • Coordinate between VOALA Legal, Accounting, and property staff regarding monthly rent payment and various property issues.
  • Complete and file Welfare exemptions forms for VOALA leases and owned properties
  • Follow up and resolve all correspondence related to and ensuring properties are in compliance accordingly
  • Ensures all municipal, county, state and federal tax payments are processed.
  • Codes invoices and matches to receiving documents and purchase orders
    • Reviews documents for accuracy; maintains related files
    • Prepares documents and enters data in to computer system
    • Prepares and processes weekly payments, via checks, credit cards, ACH, as directed; ensures timely payment to vendors
  • Effectively manages assigned vendor accounts
    • Meets deadlines for available credits, timely processes and posts current invoices, avoids past due payment through diligent efforts
    • Coordinates with program personnel and vendors to reconcile discrepancies on purchases and payable documents
  • Assists in adjusting journal entry input; backs up Accounts Receivable functions
  • Assists in the training of new accounting personnel to VOALA accounting practices and procedures, providing hands on assistance to the team:
    • Handles Complex accounts,
    • resolves Vendor problems,
    • performs special assignments
  • Other duties as required to meet department mission, as Directed by Senior Property Manger

ESSENTIAL DUTIES:

  • File all approperate Welfare forms on a timely manner, follow up with any additional necessary documents to update and maintain exemption stutus for all properties. Maintaining records and keeping communication with various departments.  Travel to Assessors office/properties when necessary
  • Work with various departments to ensure rent, utilities and any other charges are paid according to lease agreement.    
  • Monitors and processes all tax-related entries
  • Assists in adjusting journal entry input; backs up Accounts Receivable functions
  • Assists in the training of new accounting personnel to VOALA accounting practices and procedures
  • Handles Complex accounts, resolves Vendor problems, performs special assignments
  • Other duties as required and may be subject to change 

     

Qualifications

REQUIREMENTS:

  • Must be able to pass a fingerprint clearance, background check, including criminal history, personal references, employment and education verifications

EDUCATION:

  • High school diploma (or GED/High School Equivalence Certificate)

EXPERIENCE:

  • 5 years of AP Experience

    OR Bachelor�s Degree in Finance/Accounting or related field and 2 years of related experience

PREFERRED QUALIFICATIONS:

  • Accounting Degree, AA or BA
