JOB DESCRIPTION
AUTO GLASS BILLING REPRESENTATIVE
Brief Description
The Auto Glass Billing Representative is responsible for invoicing completed work orders from field technicians using our point-of-sale system. This includes but is not limited to verifying work order information, attaching recalibration pre scans/reports, processing credit card payments, posting payments to work orders, confirming rates, managing rejected invoices, part accuracy, insurance rates confirmation, maintaining multiple shared inboxes, and answering phones calls from techs and co-workers.
Tasks
· Log into the phone system during shift to assist with inbound phone calls.
· Process field credit card payments timely and assist in any work order changes needed before invoicing.
· Manage inbound emails and other communication channels timely and respond with accuracy and timeliness.
· Invoice open workorders throughout the day through our point-of-sale system.
· Work with sales and technicians to wrap up missing work order data to complete the invoicing process.
· Connect Post Scan reports with invoices for GTS.
· Quality check workorders for accuracy prior to invoicing.
Qualifications and Requirements
· Auto Glass administration experience preferred but not required.
· The hours for this role may vary daily depending on the workload. You must have flexibility to work as needed. (This is a full-time job, 40 hours minimum) Month-end will require increased demand and extended hours to close out all markets.
· Working knowledge of Auto Glass Point of sales system GTS, Lynx Services, SGC, Misc. Third-party administrators, and Teams management systems.
· Advanced skills in Microsoft Office, including Word, Excel, and Outlook.
· Ability to write routine reports and correspondence.
· Ability to work beyond normal business hours to ensure all job description responsibilities are met timely and accurately.

Lines of Communication
· The Auto Glass Billing Representative reports directly to the assigned Billing Supervisor - Glass and collaborates closely with the sales and operations team.
