Job Description

The Opportunity: 


The HR Administrator/Coordinator will play a key role in supporting daily human resources operations across the organization. This position is suited for a detail-oriented HR professional with strong Excel capabilities, experience in HR administration, co-op recruitment, and exposure to benefits and general HR processes, ensuring proper handling, storage, and access controls for employee data. This is a future vacancy within the organization.


Key Responsibilities:


  • Coordinate end-to-end co-op hiring (postings, screening, interviews, offers, and check-ins).
  • Build relationships with post-secondary institutions, co-op offices, and hiring managers.
  • Identify and secure employment funding opportunities.
  • Support onboarding and offboarding of co-op students and interns.
  • Provide administrative HR support including employee records, time & attendance, offboarding, and documentation.
  • Maintain accurate employee data in HRIS systems and files.
  • Partner with IT and security teams to ensure proper handling, storage, and access controls for employee data.
  • Assist in audits, documentation, and reporting related to HR security compliance.
  • Respond to employee inquiries and escalate complex issues as needed.
  • Assist with benefits administration (enrollment, changes, terminations) and liaise with providers.
  • Support annual benefits renewal and maintain related documentation
  • Maintain and analyze spreadsheets using advanced Excel functions (formulas, filters, pivot tables)
  • Assist with ad hoc HR reporting and other HR project related requests.

 

Key Qualifications, Skills & Education:


  • Post-secondary education in Human Resources, Business Administration, or a related field.
  • 2–4 years of experience in an HR administrative or HR coordinator role.
  • Knowledge of data privacy principles and handling of sensitive employee information.
  • Experience working in an administrative capacity within a professional environment.
  • Strong Excel skills including formulas, pivot tables, and data analysis.
  • Proficiency in Microsoft Applications, including Word, Excel, PowerPoint, SharePoint, and Teams.
  • Experience using HRIS platforms, CRM systems, and time & attendance systems (or comparable tools) is highly desirable.
  • Experience supporting co-op or campus hiring programs.
  • Hands-on experience with benefits administration.
  • General knowledge of HR best practices and employment legislation, including the Ontario Employment Standards Act (ESA) and other applicable labour and employment laws.
  • Strong attention to detail and organizational skills.
  • Excellent communication and interpersonal skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Reliable means of transportation to our Nepean Ottawa office.
  • Bilingualism (French and English) is considered an asset.
