    POSITION:    Summer Discovery Program Secretary

    LOCATION:    Westview Elementary

    QUALIFICATIONS:    

    • Three years experience in a K-12 public school office position.
    • Highly proficient in school computer software (i.e. AS400, PowerSchool, Asset Essentials, Google Suite).
    • Outstanding organizational skills.
    • Demonstrated good judgment and initiative.
    • Ability to work under stress, meet deadlines, and handle crisis situations as needed.
    • Ability to prioritize tasks; work with little supervision, as well as, a productive member of a team.
    • Ability to work with students, parents, staff, district employees, and external agencies.
    • Must attend training provided by program site directors.
    • Enthusiastic, energetic, and positive

    RESPONSIBILITIES:     

    • Responsible for providing office support for all scheduled days of summer programming. 
    • Maintains a high degree of proficiency in secretarial skills to provide timely, neat, and accurate work.
    • Receives, acknowledges, and answers inquiries or channels to appropriate staff members.
    • Maintains an awareness of the importance of good public relations in handling all matters while maintaining strict standards of confidentiality in all matters
    • Monitors attendance of students and communicates attendance concerns to parents as needed.
    • Adept at diffusing potentially volatile situations.
    • Assists students, parents, administrators, site directors, and staff as needed.
    • Performs the necessary duties and functions related to processing of volunteers and substitute teachers.
    • Performs a variety of duties related to the opening and closing of the summer program.
    • Orders, stores, and distributes office and general teacher supplies and forms.
    • Organizes all incoming and outgoing office mail.
    • Maintains various and appropriate filing and record keeping systems.
    • Creates purchase orders, assists with tracking school accounts/budgets.
    • Submit employee payroll documentation to ensure accuracy and all deadlines are met.
    • Monitor student attendance and communicate with parents regarding student absence reasons.
    • Creates letters, memos, newsletters, and other written school communications.
    • Gather data, generate reports and create presentations.
    • Maintains building calendar, assists with the set up of meetings, orientations, and events.
    • Familiar with and follow FERPA and HIPPA laws.
    • Assists with the school improvement process and reports.
    • Communicates crisis management notifications per site directors.
    • Administer first aid and prescription medications to students.
    • Attend all scheduled days of the summer discovery program including professional development training and site set-up and closing activities.
    • Performs such other duties and functions as assigned by the site directors. 

    SCHEDULE:

    Room Set-Up & Building Training at Westview Date:

    • June 26th (8 am-4 pm)

    Summer Discovery Dates:

    • July 6 - July 31, Monday - Friday; 
    • Staff hours: 8 hours per day, 5 days per week / daily schedule set by the Summer School Site Director.  
    • Student Hours: 8:00 a.m.� 4:00 p.m., Monday - Friday, Staff hours may be flexed 30 mins before or 30 mins after student hours depending on the Site Director (s) scheduling.

        

    Room Break-Down and Clean Up Date:

    • August 3- Monday (8am- 4 pm)

        

    SALARY:            $23 per hour (United Way Summer Discovery Grant funded amount)

    ADDITIONAL INFO:

    • All staff are required to attend 2 days (8 hours a day) of mandatory paid training/activities as notated above.
    • A daily 15 minute relief period and a duty free lunch will be provided (30 min/day).

    REPORTS TO:  Summer School Site Director(s)

    Positions  will be filled based upon student enrollment and related experience.
