POSITION PURPOSE
Responsible for managing all aspects of repossessed collateral, including recovery coordination, inventory control, condition assessment, repair facilitation, and sale preparation. This role ensures compliance with applicable laws and Credit Union policies while maximizing recovery value and maintaining the organization’s professional reputation.
ESSENTIAL FUNCTIONS AND BASIC DUTIES
- Repossession Coordination & Compliance
- Assumes responsibility for the effective execution of repossession and collateral recovery functions.
- Ensures all repossession activities and property dispositions comply with established policies, procedures, and applicable legal and regulatory requirements.
- Schedules and coordinates all repossession activities.
- Responds promptly to notifications of impounded vehicles to protect the Credit Union’s interest.
- Inventory Management & Property Oversight
- Maintains accurate inventory of all repossessed, abandoned, foreclosed, or assigned properties.
- Completes detailed condition reports and personal property inventories.
- Secures, boxes, and labels personal property as necessary.
- Ensures all properties are properly prepared for sale.
- Property Evaluation, Preservation & Maintenance
- Evaluates repossessed collateral to determine required repairs and overall sale readiness.
- Determines estimated costs associated with repairs and sale preparation.
- Assessed damage and determines the necessity of filing insurance claims.
- Ensures the protection, preservation, and overall condition of repossessed assets.
- Coordinates repair approvals with the Account Resolution Manager.
- Schedules and conducts periodic inspections to monitor property condition and progress.
- Administrative & Reporting Responsibilities
- Documents all repossession-related actions.
- Maintains accurate records, files, inventory logs, and sales listings.
- Prepares regular reports, summaries, and updates for management.
- Keeps management informed of activities, progress, and any significant issues.
- Assists in the development and review of repossession policies and procedures.
- Participates in meetings and supports team members as needed.
- Member & Vendor Relations
- Establishes and maintains professional relationships with borrowers, buyers, vendors, and community organizations.
- Responds to member and buyer inquiries, providing accurate and timely information.
- Resolves requests, concerns, and issues efficiently and professionally.
- Ensures the Credit Union’s professional reputation is upheld in all interactions.
- Regulatory Awareness & Industry Knowledge
- Ensures updates to laws and regulations are incorporated into current practices.
- Remains informed on trends, best practices, and procedural changes within repossession and collateral management.
MECHANIC & COLLATERAL PREPARATION DUTIES
- Inspection & Evaluation
- Inspect repossessed vehicles for damage and determine insurance claim requirements.
- Assign mechanical and interior condition grades.
- Minor Repairs & Make-Ready
- Perform or coordinate minor maintenance, including battery and air filter replacements.
- Facilitate mechanical and body shop repairs.
- Coordinate oil changes, glass repair, and tire replacement.
- Ensure all non-auction vehicles are properly cleaned and detailed.
- Audit and document personal property found in repossessed vehicles.
