Position Summary:

The Scheduler is responsible for coordinating and scheduling patient testing, procedures, and admissions. This role ensures accurate patient information is obtained and entered into the scheduling or registration system, secures necessary pre-certifications/authorizations, and provides excellent customer service by managing incoming calls and communicating effectively with patients and physician offices.

Reports to: Patient Access Supervisor – Sch/PreReg
FLSA: Non-exempt

 

Minimum Qualifications:

Education:
High school diploma or equivalent required; or at least three (3) years of directly related experience may be substituted for the required education.

Licensure/Certifications:
N/A

Minimum Work Experience:
Prior scheduling experience in a healthcare environment is strongly preferred. Medical terminology, billing, and/or collections experience preferred. Computer experience required.

Essential Functions:

  • Schedule patients for ancillary, surgical, and medical testing, procedures, and admissions, ensuring appropriate staffing and resource availability 
  • Notify patients or physician office staff of out-of-network carriers or issues that may impact benefits 
  • Communicate special instructions, testing requirements, and other pertinent information to patients or physician offices 
  • Maintain knowledge of daily scheduling reports to ensure patient registration readiness, appropriate testing, and staff availability 
  • Obtain physician orders and required authorizations/pre-certifications 
  • Enter outpatient procedures into the Order Entry System 
  • Ensure consistency between scheduling and admissions modules for patients requiring admission 

 

Non-Essential Functions:

  • Perform additional duties and special projects as assigned 
  • Comply with all organizational policies, procedures, and regulatory requirements
