- Coordinate and monitor special education compliance timelines (evaluations, reevaluations, IEPs, RR reports, etc.)
- Schedule and coordinate all IEP meetings, reevaluation meetings, manifestation determinations, and compliance-related meetings
- Collaborate with case managers, families, and building leadership to ensure timely scheduling and participation
- Maintain and track special education student records with accuracy and confidentiality (FERPA and IDEA compliance)
- Facilitate communication among case managers, school psychologists, related service providers, and administrators
- Prepare and distribute required notices, invitations, permission forms, and procedural safeguards within mandated timelines
- Support ACCESS (Medical Assistance) billing processes, including data entry, verification, and coordination with providers
- Maintain and update special education databases and systems (IEP systems, student information systems, compliance trackers)
- Assist in preparation of state and district reports related to special education compliance and data submissions
- Monitor incoming referrals and evaluation requests, ensuring timely processing and follow-up
- Provide clerical and administrative support including correspondence, reports, and meeting materials
- Maintain calendars, schedules, and documentation for department leadership
- Respond to parent and guardian inquiries in a professional and timely manner
- Support coordination of transportation, service schedules, and related logistics for special education students
- Maintain strict confidentiality of all student, staff, and district information
- Perform other related duties as assigned by the Director of Special Education or designee
- High school diploma or GED required- Associates Degree preferred
- Post-secondary coursework in office administration, business, or education preferred
- Minimum of three years of administrative or clerical experience, preferably in a school setting or special education environment
- Experience with compliance-driven processes or student services preferred
- Working knowledge of special education processes, timelines, and terminology (IDEA, Chapter 14, IEPs, ER/RR timelines)
- Proficiency in Microsoft Office Suite and Google Workspace
- Experience with student information systems and IEP management systems preferred
- Strong organizational and time-management skills with ability to manage multiple timelines
- High attention to detail, especially related to compliance documentation
- Strong written and verbal communication skills
- Ability to problem-solve and proactively address scheduling and compliance issues
- Ability to maintain confidentiality and exercise discretion
- Ability to work independently and collaboratively in a fast-paced environment
