Office Administration Coordinator

Your opportunity

We’re currently looking for an Office Administration Coordinator to join our team at Huhtamaki Espoo Headquarters in Finland.

This is a hands‑on office operations role, supporting the daily functioning of our Headquarters. This role is ideal for someone who enjoys being hands‑on and visible in the office, takes pride in keeping things running smoothly, and likes interacting with people on a daily basis. If you enjoy solving practical problems, supporting others, and being the go‑to person in an office environment, this role could be a great fit.

Where you’ll be

You will be located at our Espoo HQ in Finland and should be within reasonable commuting distance from here. This is a primarily in-office role.

What you’ll be doing

Responsibilities include but are not limited to:

  • Office management including working with various stakeholders to ensure safe and great place to work.
  • Organize and coordinate daily office activities and operations.
  • Monitoring expenses and budget.
  • Assuring inventory of office supplies and interacts with vendors.
  • Organize internal and external events and company meetings.
  • Prepare meeting rooms, coordinate catering, and manage logistics.
  • Help onboard new employees (workplace setup, welcome materials).
  • Act as a point of contact for internal and external stakeholders.

What you’ll bring to the role

  • Proven experience (3-5 years) from Office Management/Coordination role or in a similar role within an international environment. Experience working for a publicly listed company is considered an asset.
  • Strong customer focus and results-oriented mindset, with a structured and systematic approach to work.
  • Comfort interacting with colleagues, visitors, and external partners, and acting as a visible point of contact in the office.
  • Ability to manage multiple tasks, prioritize effectively, and perform well under pressure.
  • High level of integrity, with an ethical and trustworthy approach to work.
  • Excellent verbal and written communication skills in English.
  • Relevant educational background, such as a bachelor’s degree in Business Administration or a related field.
  • Proficient in MS Office tools, with a demonstrated interest in digitalization and new technologies.
