Job Title:  Appointment Scheduler

Supervisor:  Transportation Manager

Positions Supervised:  None

FLSA Status:  Non-exempt; Full-Time                                                           

 Job Summary 

Under the supervision of the Transportation Manager, the Appointment Scheduler schedules appointments for PACE Participants and completes authorizations in the EMR; Responsible for working collaboratively with the Transportation Supervisor and Executive Clinical Administrative Assistant to ensure smooth workflows while using discretion to complete responsibilities in a timely, confidential, and appropriate manner.  

Requirements

Education and Special Training:  High school graduate or equivalent.

Experience:  At least 1 year of experience working in an administrative and/or clerical capacity.  Preferred medical records experience but not required.

Licensure, Registry or Certification Required:  Valid NC driver's license and vehicle.

Knowledge, Skills, and Abilities:  Must be able to work effectively in a team environment; Excellent internal and external customer service skills; Computer skills (Word, Excel, Microsoft Outlook, Data entry); Standard office equipment operation; Establish priorities and handle workflow with frequent interruptions; Ability to work collaboratively; Flexible and able to work well with others; Must possess excellent verbal communication skills for telephone and in person interaction; Ability to represent the organization professionally.

With or without reasonable accommodations:  Able to read, write, and speak English; Ability to clearly see medical records and various documents; Ability to perform repetitive hand/writs movements.

Summary

Key Responsibilities  

·       Works effectively in varied team settings by collaborating with Providers, the Transportation Scheduler and Executive Clinical Administrative Assistant, other IDT team members and Participants and Caregivers to ensure appointments are scheduled in a cohesive manner.

·       Completes necessary scheduling documentation and/or authorizations in the EMR to ensure consistent workflows to meet compliance requirements and billing deadlines in a timely manner.

·       Communicates effectively with Participants, families, team members, and other departments and agencies.

·       Organizes, prioritizes and accomplishes tasks in an orderly fashion.

·       Facilitates achieving customer satisfaction and agency compliance by troubleshooting and helping to resolve concerns.

·       Participates in Morning Meeting by reading scheduled appointments and addressing questions regarding appointments. 

·       Maintains medical records according to policies and procedures. Will prioritize scanning Medical Director’s medical records into TruChart on the same day of receipt.                                                                 

·       Abides by all established policies, rules and regulations.

·       Attends staff meetings.

·       Coordinates transportation services to include escorts for scheduled outside specialist appointments.

·       Other duties as assigned.
