Summary
Under the general supervision of the Director of Incident Management, the Incident/Compliance Manager oversees the reporting and documentation of incidents and compliance audits within the organization's services, ensuring compliance with state regulations and protecting individuals with developmental disabilities. This role requires a strong understanding of OPWDD and Justice Center guidelines, excellent communication and analytical skills, and the ability to work collaboratively with various stakeholders. The Incident Manager is responsible for all administrative procedures in various databases, necessary for the smooth and efficient flow of tasks connected to Incident Management, Compliance/Auditing, Record Retention and Incident Review. Duties require appropriate handling of confidential materials and a high degree of competence and attention to detail. This position also provides hands on support to the Compliance/Incident Management departments and agency operations as it pertains to all required follow-up (such as CAPS, POCAs and other documents and/or procedures).
Essential Duties and Responsibilities
Oversight & Compliance
- Conduct all required IRMA entries, responses, and document uploads.
- Prepare and distribute all documentation to outside agencies (Jonathan’s Law, IMU, 3BDR, OIIA, Mortality Review).
- Ensure investigations adhere to OPWDD regulations, NYS Justice Center requirements, and other applicable state and federal laws.
- Upload all documentation and completed reports into IRMA/WISR.
- Ensure all required notifications are completed, including those to regulatory bodies, families, and other relevant agencies.
- Identify areas of concern and recommend corrective actions.
- Manage and maintain all records of Internal Reportable Incidents.
- Provide all required OPWDD letters and prepare for mailing.
- Respond to all AARM requests.
- Distribute and upload Corrective Action Plans (CAPs).
- Assist in completion of the required Justice Center target letters, submission of notifications/forms for Investigative Records for Abuse and Neglect Allegations.
- Assist and provide support in Compliance related matters.
- Manage a variety of databases within all areas of the Compliance department.
- Participate in the Internal Auditing process when needs arise as well as participating in the POCA process including but not limited to meetings, tracking POCA responses, documentation, and updating tracking.
- Participate in the Compliance Departments Record Retention project as needed.
Committee & Administrative Support
- Prepare Incident Review Committee (IRC) Agenda and Minutes.
- Provide administrative support to the Incident Management Department and agency operations.
- Manage data and assist in preparation of annual trend information for incidents.
- Manage and track information in OPWDD’s IRMA database and interface with the Justice Center to ensure incident closure.
- Perform other duties as assigned.
