Your
Role
Reporting to the Associate Director,
Development, the Administrative Officer, Annual Giving provides day-to-day
administrative and coordination assistance to support donor stewardship and
engagement activities. This role supports accurate donor data management,
campaign logistics, donor communications, and reporting—helping ensure a smooth
and timely donor experience across Alberta.
The Administrative Officer works closely with
the Annual Giving Officer, Database Manager, and Marketing & Communications
to coordinate timelines, materials, and donor-facing communications in support
of fundraising goals.
This is a
temporary hybrid position based out of the Calgary Ronald McDonald House,
working 35 hours per week for a minimum of 8 weeks. The position will start as
soon as possible and is expected to end by August 29, 2026. This position
requires travel to Ronald McDonald Houses and events in Alberta.
This position is made possible in part by the
Canada Summer Job Grant. As such, applicants must be between 18 and 30 years of
age and a Canadian citizen, permanent resident, or a person on whom refugee
protection has been granted.

it most.
Your Key Responsibilities
Annual Giving Administration &
Coordination
·
Assist with [CJ1] components
of direct mail and digital campaigns (timelines, lists, tracking progress,
printing/mail coordination, inventory).
·
Prepare, format, and proof
donor-facing communications (letters, emails, impact reports, newsletters, as
applicable) in collaboration with the Annual Giving Officer.
·
Support the monthly donor
program administration (new enrollments, updates, cancellations, and
coordinating donor communications).
·
Assist with scheduling
meetings, and coordinate logistics for donor calls, stewardship touchpoints,
and campaign planning, as needed.
·
Support acknowledgement and
stewardship workflows by helping prepare materials (thank-you letters, impact
communications, and follow-up tasks) to ensure timely donor recognition.
Donor Data & CRM Support (Raiser’s Edge)
·
Enter and update constituent
records, and actions in Raiser’s Edge, following data quality and confidentiality
standards.

Assist with preparing and reviewing
donor lists for mailings and stewardship activity, as directed by Annual Giving
Officer and Database Manager.

Compile engagement metrics or
reports using existing templates or queries.
·
Support gift processing
workflows by assisting with documentation and internal communications.
·
Provide administrative support
for Annual Giving team, including event activations (registrations, materials,
and day-of coordination as required).
Team & Stakeholder Support
·
Serve as a friendly,
professional point of contact for donors, directing questions to the
appropriate team member and ensuring timely follow-up.

Collaborate with Annual Giving and
Marketing & Communications by assisting with timelines, file preparation
and approvals for annual giving materials.
·
Assist with additional
administrative tasks and special projects as assigned.
Required Qualifications
·
Post-secondary education in
office administration, business, communications, or a related field is an asset
(equivalent experience considered).
·
2+ years of administrative
coordination experience, ideally in a fundraising, nonprofit, or customer
service environment.
·
Strong attention to detail with
demonstrated ability to manage multiple priorities, deadlines, and confidential
information.
·
Strong computer skills,
including Microsoft Office (Outlook, Word, Excel); comfort learning new
systems.
·
Experience with a donor
database/CRM (Raiser’s Edge preferred) is considered an asset.
·
Excellent written and verbal
communication skills and a customer-service orientation.
·
Access to reliable
transportation for occasional travel.
·
Must provide a clear criminal
record check
