Customer Service & Office Coordination: Answer inbound calls professionally and route or resolve inquiriesSchedule estimates and jobsMaintain accurate customer notes and records in company systemsFollow up on pending quotes, customer questions, and post-job satisfactionHelp ensure the office runs smoothly day to dayFinancial & Administrative Support: Process payroll accurately and on scheduleManage accounts receivable, including invoicing, payment posting, and collections follow-upManage accounts payable, including vendor invoice tracking and bill payment coordinationOrganize financial records for easy access and accountant supportAssist with reporting, reconciliation support, and general bookkeeping accuracyOwner Support: Help manage email triage, calendar coordination, and priority follow-upDraft routine email responses and keep important items from falling through the cracksSupport scheduling, deadlines, and day-to-day administrative executionOperations & Crew Support: Track and reorder key supplies and consumablesMaintain simple inventory records and help prevent shortagesCoordinate supply needs with field crews and support efficient distributionHelp reduce downtime by keeping office and field support functions organizedMarketing & Content Support: Schedule and post social media content using company-provided photos, videos, and brand guidelinesMonitor messages and comments and respond to routine inquiriesAssist with light video editing for short-form contentProcess Improvement: Document office and operational processesBuild simple SOPs, checklists, and reference guidesIdentify inefficiencies, recommend improvements, and help implement better systems across the businessWhat We’re Looking For: 3+ years of experience in office administration, operations, office management, bookkeeping support, or a similar roleStrong organizational skills and attention to detailProfessional written and verbal communicationConfidence handling phones, customer communication, and schedulingWorking knowledge of invoicing, payroll, accounts payable, and accounts receivableComfort with business software, email, spreadsheets, cloud-based tools, and learning new systems quicklyAbility to manage multiple priorities without losing accuracyHigh level of discretion with financial and personnel informationProactive mindset with a strong sense of ownership and follow-throughPreferred Qualifications: Experience with QuickBooks or similar accounting softwareExperience with SingleOps or similar CRM or job management softwareExperience with payroll systemsFamiliarity with social media managementExperience in a small business, home services, construction, landscaping, or similar field environmentLight video editing experience is a plusWhat Success Looks Like: Within the first 90 days, the right person will be building confidence and ownership in the role by: - Keeping phones, scheduling, and customer communication organized - Running payroll and core financial admin tasks accurately and on time - Supporting better visibility for receivables, payables, and records - Helping the owner stay focused on higher-level priorities - Building better systems, documentation, and process consistency across the business
