ASRC Federal AFSS is a premier provider of systems engineering, software engineering, system integration and project management services for real-time, mission-critical defense systems. We are seeking a Senior Project Support Specialist to support a NASA contract in Washington, D.C.

 

Job Description: Provide senior project and operations support to the NASA Office of the Chief Financial Officer (OCFO) at NASA Headquarters. Support includes high‑level administrative coordination, executive engagement planning, communications support, workflow development, and enterprise-level operational assistance for OCFO leadership.

 

Location: This role reports full-time on-site to NASA Headquarters in Washington D.C.

 

Responsibilities:

Executive Operations and Leadership Support

  • Provide executive support and customer service to senior leaders within the OCFO.
  • Manage shared executive calendars, coordinate scheduling priorities, and ensure alignment of meetings, appointments, conferences, and engagements.
  • Coordinate meeting logistics including room scheduling, equipment needs, agenda preparation, and distribution of read‑ahead materials.
  • Attend meetings as requested, capture action items, and report back status updates to leadership.
  • Prepare standard and specialized presentation materials for NASA executives, consolidating inputs and ensuring formatting consistency.

 

Operational Coordination

  • Support planning and execution of office relocations including IT coordination, phone and workspace moves, key requests, door signage, and updates to organizational lists.
  • Prepare, process, and coordinate approvals for purchase requests and other administrative documents.
  • Coordinate domestic and international travel logistics, including protocol requirements and multi‑leg itineraries.
  • Maintain office supply inventories and ensure continuity of operations through proactive resource management.
  • Develop, document, and enhance internal workflows to improve operational efficiency across OCFO functions.
  • Proactively interface with all levels of management and program team members to ensure comprehensive administrative support for the Directorate.

 

Enterprise Communications and Documentation Management

  • Provide writing and editing support for a variety of documents, correspondence, and communications.
  • Prepare and route official NASA correspondence in accordance with Headquarters standards, directives, and formatting requirements.
  • Maintain accurate electronic files, records, and data repositories supporting OCFO operations.
  • Update organizational reference materials, contact lists, and internal documentation as needed.

 

Administrative and Organizational Support

  • Support the coordination of office-wide activities, enterprise engagements, and special events.
  • Assist in the development of internal resources, processes, and tools to support OCFO operations and organizational effectiveness.
  • Lead or contribute to complex assignments, collaborating with team members across the OCFO enterprise.
  • Perform additional duties and special projects as assigned

 

Requirements:

  • Report on-site full-time at NASA Headquarters in Washington D.C.
  • Demonstrated ability to operate effectively in dynamic environments, rapidly adapting to change while communicating in a clear direction with urgency.
  • Ability to make sound, timely decisions using analysis, experience, and professional judgment.
  • Strong critical thinking skills with the ability to quickly learn new concepts and develop innovative solutions to meet customer and organizational needs.
  • Exceptional written and verbal communication skills, with the ability to engage effectively across all levels of an organization.
  • Experience developing, documenting, and improving administrative workflows and operational processes.
  • Strong organizational and project coordination skills, with the ability to manage multiple priorities and stakeholders simultaneously.
  • High level of professionalism, discretion, and attention to detail, with consistent follow-through on commitments.
  • Experience drafting and preparing executive-level correspondence, briefing materials, and presentations.
  • Advanced proficiency in Microsoft Office 365 Suite (Excel, Word, PowerPoint, Outlook, Teams).
  • Demonstrated commitment to proactive customer service, with strong problem-solving skills and the ability to anticipate needs and deliver timely, effective solutions.
  • Individual must meet government NAC and citizenship/permanent residency requirements for access to NASA GSFC. Extensive background investigation will be performed as a requirement of the job. Some travel may be required.

 

Education and Experience:

  • Bachelor’s degree and 8+ years of related professional experience or 11+ years of related professional experience in lieu of degree.
