Position: Guidance Secretary - Nashoba Regional High School
Organizational Scope:

Reporting directly to the Guidance Director and the High School Principal with indirect report to the Superintendent as the appointing authority. The Guidance Secretary must possess strong organizational skills, professionalism, discretion, and the ability to manage multiple priorities while supporting counselors, students, families, faculty, and external partners. This position provides comprehensive administrative, clerical, and student-facing support in a fast-paced, high-volume high school guidance office.
Position Responsibilities:
- Serves as the confidential first point of contact for the guidance suite, managing a high volume of in-person, telephone, and electronic inquiries with sound judgment and a welcoming presence.
- Maintains complex calendars for counselors and the Guidance Director; coordinates meetings, appointments, student passes, and guidance-related events; and supports the preparation and logistics of office and school activities from registration through graduation.
- Processes purchase orders, reimbursements, and hourly/non-contract payments; monitors departmental and testing budgets and revolving accounts; and provides financial data as requested.
- Communicates effectively with students, parents, faculty, staff, community members, employers, scholarship donors, and other external partners.
- Supports large-scale and confidential work including National Merit Scholarship materials, PSAT and AP registration, college application submission, scholarship program, and Awards Night coordination.
- Responds appropriately to student concerns, urgent situations, and changing priorities maintaining a positive and professional presence.
- Adept at using a variety of electronic tools such as Google suite, PowerSchool, SchoolLinks, Total Registration, and other related systems, and willing to use new technology as it emerges.
- Able to work the school year plus 10 summer days.
- The omission of specific duties here does not exclude them from the position’s responsibilities if the work is similar, related, or a logical assignment to the position.
Job Qualifications
- Associates Degree or certificate program with three to five years professional office experience required.
- Must have thorough knowledge of office practices and procedures,
- Excellent computer skills with the ability to learn new technology quickly.
- Must have excellent communication and interpersonal skills both verbally and in writing.
- Must be able to work independently, have excellent organizational skills.
- Must be able to assist in the protection of students and school property.
Physical Demands:
Most work is performed in a typical office environment requiring minimal to light physical effort. This may include everyday discomforts and distractions of office settings, including proximity to colleagues, temperature variations, frequent interruptions and moderate noise. This position requires the ability to operate a computer keyboard and standard office equipment at efficient speed and for lengthy periods of time.
Terms of Employment, Evaluation of Performance and Salary:
The Guidance Secretary is a full-time, 194 day, FLSA non-exempt position. Terms of employment, including evaluation and salary, are covered by the provisions of the Unit C Contract with the Nashoba Regional School District. Compensation is based on educations, expereince and qualifications the range reflect the salary schedule in the Unit C contract.
