Summary: The Administrative Assistant – Employee & Guest Services is a key member of the Employee Experience Team and serves as the first point of contact for employees, guests, and external partners. This role is responsible for delivering a high level of customer service while supporting daily operations at the Support Center. 

The ideal candidate is highly organized, service-oriented, and proactive, with the ability to manage multiple priorities in a fast-paced environment. This position also supports administrative functions, facilities coordination, and employee experience initiatives to ensure a welcoming, efficient, and well-maintained workplace. 

Essential Functions:

Front Desk & Guest Services 

  • Greet and welcome employees, guests, and vendors in a professional and friendly manner 
  • Determine the purpose of each visit and notify appropriate personnel 
  • Manage visitor access, including issuing badges and ensuring compliance with security protocols 
  • Maintain a clean, organized, and welcoming reception and common area environment 

Call Management & Communications 

  • Manage incoming calls through an automated call routing system (IVR/call tree) 
  • Answer and direct calls efficiently, providing accurate information and routing inquiries to appropriate departments 
  • Monitor shared communication channels (phone, email, Teams) and ensure timely responses 

Administrative & Operational Support 

  • Prepare reports, presentations, and training materials 
  • Process and code invoices; coordinate with Finance and external vendors 
  • Support Employee Experience programs, events, and internal initiatives 
  • Assist with data entry, recordkeeping, and basic data auditing 

Office & Facilities Coordination 

  • Manage incoming and outgoing mail, shipping, and courier requests 
  • Order, stock, and maintain office supplies, snacks, and refreshments 
  • Maintain organization and cleanliness of kitchens, common areas, and supply storage 
  • Coordinate reservations for company vehicles, meeting rooms, and shared resources

Event & Employee Experience Support  

  • Assist with planning and execution of on-site meetings, trainings, and events 
  • Provide logistical support including room setup, materials preparation, and vendor coordination 

Regularly works onsite to build strong team connections, collaborate across functions, and solve problems in real time.

Compensation & Benefits:

This is a non-exempt position with an hourly pay rate range of $23 to $29 per hour.

Required Qualifications:

  • Minimum of 2 years of administrative, front desk, or office support experience 

Preferred Education & Experiences:

  • Associate degree or equivalent combination of education and experience 
  • Bilingual or limited working proficiency in Spanish 
  • Experience with automated phone systems (IVR), call routing platforms, or reception software 
  • Experience with basic data analysis, reporting, or auditing 
  • Prior experience in facilities coordination, workplace services, or employee experience roles 

Knowledge, Skills & Abilities (KSA):

  • Strong organizational skills with the ability to prioritize and manage multiple tasks 
  • Demonstrated problem-solving skills and attention to detail 
  • Ability to work both independently and collaboratively with minimal supervision 
  • Strong written and verbal communication skills in English 
  • Excellent interpersonal and customer service skills with a professional demeanor 
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams) 

Work environment:  

  • Monday–Friday, 8:00 a.m. – 5:00 p.m. 
  • On-site at the Support Center (corporate office) in Ballard, Seattle, WA 
  • Moderate noise level in a collaborative, open office environment 
  • Business casual dress code 

Work Ability Requirements: 

  • Ability to sit or stand for extended periods of time 
  • Ability to lift and carry items up to 15 pounds regularly and occasionally heavier items 
  • Maintain and restock office coffee stations, including: 
  • Lifting coffee bags (5–6 pounds each) 
  • Refilling machines (may require use of a step ladder) 
  • Removing and disposing of used coffee grounds 
  • Restock and organize snacks using carts, baskets, and storage systems 
  • Support mailroom and shipping functions, including handling and preparing packages
