Job Description

Job Title: Assistant Project Manager

Reports To: Senior Project Manager
Employment Type: Full-Time

Position Summary

The Assistant Project Manager (APM) plays a crucial role in supporting the Senior Project Manager and Project Manager with all aspects of project management. This includes procurement, contract administration, scheduling, documentation, financial tracking, and team coordination. The APM helps ensure that projects are executed on time, within scope, and in alignment with TOLM’s standards of excellence and safety.

Key Responsibilities

1.  Schedule and coordinate project meetings, prepare agendas, and record/distribute meeting minutes and action items

2.  Track submittals, RFIs, and material lead times; maintain logs and communicate updates to project teams

3.  Support change management by gathering documentation and helping to prepare change orders

4.  Assist in drafting subcontracts and purchase orders for review and execution

5.  Help prepare monthly financial worksheets and reports for project projections and billings

6.  Conduct periodic job site visits to assess progress, compliance, and support QA/QC tracking

7.  Maintain and update digital project documentation, including blueprints, specifications, and QA/QC logs

8.  Assist with expense tracking and cost forecasting

9.  Import, edit, and customize QA/QC forms using project management software

10. Participate in safety initiatives and ensure adherence to TOLM safety programs and culture

11.  Collaborate with field and office teams to ensure construction is in accordance with contract documents

Qualifications & Skills

1.  Strong organizational skills and the ability to manage multiple tasks effectively

2.  High attention to detail and problem-solving capabilities

3.  Willingness to learn, take initiative, and be mentored by senior project staff

4.  Excellent verbal and written communication skills

5.  Proficient in Microsoft Office Suite (Excel, Word, Outlook)

6.  Familiarity with project management software (Project Sight, Spectrum, etc.)

7.  Demonstrates integrity, dependability, and a strong work ethic

8.  Committed to TOLM’s values and safety culture

9.  Able to work well independently and within a team

Education & Experience

1.  2–4-year degree preferred in Construction Management, Engineering, or a related field

2.  2–3 years of experience in construction or preconstruction preferred

3.  Equivalent combination of education and experience will be considered
