The IMF Staff Association has a vacancy for an Administrative Coordinator (Part-time Contractual).

Under the general direction of the Staff Association Committee (SAC) Officers, and closely collaborate with Senior Administrative Coordinator/Lead, the selected candidate will provide administrative, operational, and logistical support to the SAC Office. The incumbent supports routine office processes and service delivery, helping ensure continuity and responsiveness to SAC members.

The selected candidate is expected to:

A. Membership & Mailbox Support (Routine Triage + Escalation)

  • Support SAC membership administration, including onboarding steps and maintaining accurate membership records.

  • Monitor the SAC shared mailbox, respond to routine inquiries using established guidance, and escalate sensitive/complex matters to the Program Operations Analyst or SAC Officers.

B. Scheduling, Meetings & Standard Events Logistics

  • Coordinate scheduling activities, including calendars, meeting logistics, and advance room reservations for recurring SAC events.

  • Prepare routine agendas and draft minutes for SAC weekly meetings and other meetings as assigned; route drafts for review and finalize for distribution/filing.

  • Provide logistical support for SAC events (Town Halls, Brown Bags, onboarding sessions), including vendor coordination and onsite support as needed.

C. Records, Filing & Document Management

  • Maintain organized electronic and physical filing systems; support document archiving, retrieval, and distribution in line with established SAC practices and Fund procedures.

  • Support routine document management tasks (version control, labeling, publication of approved materials to the appropriate repositories).

D. Website & Communications (Routine Updates)

  • Maintain and update the SAC website with routine content changes (posting approved documents, announcements, event information) in coordination with the Program Operations Analyst and SAC Communications team.

  • Assist in drafting/formatting SAC communications (announcements, newsletters, event notices) under direction; ensure brand templates and formatting are applied.

E. Office Inventory & Merchandise

  • Maintain office inventory and coordinate restocking of supplies; support management and distribution of SAC merchandise.

F. Process Improvement & Digital Modernization Support

  • Assist the Senior Administrative Coordinator/Lead in SAC office modernization initiatives by supporting documentation, testing, and rollout of improved administrative and operational processes.

  • Provide operational support for low‑code and automation solutions developed for SAC (e.g., Power Automate, Power Apps), including maintaining workflows, monitoring routine runs, and flagging issues or improvement opportunities.

  • Support basic data tracking and reporting for SAC activities (e.g., membership, events, service requests) by updating predefined reports or dashboards (e.g., Power BI) under guidance.

  • Help maintain organized SharePoint and Teams workspaces to support improved information management and collaboration practices.

  • Use Microsoft Copilot and M365 tools to improve efficiency in routine tasks such as drafting communications, preparing meeting materials, and supporting standard reporting.

Minimum Qualifications

  • Educational development, typically acquired by the completion of a high school diploma, or equivalent, supplemented by a minimum of two (2) years of relevant experience, is required. No previous experience would be required for those who have completed a university degree. 

  • Proficiency with standard office tools (Outlook, Word, Excel, Teams, SharePoint) and strong attention to detail.

In addition to the minimum qualifications, the candidate must have:

  • Strong organizational and time management skills; ability to handle sensitive information with discretion; clear written and verbal communication skills; flexibility and teamwork orientation.

It is expected that the average commitment would be 20 hours per week, as agreed with the supervisor under flexible arrangements.

Only candidates who are currently residing in the Washington DC metro area will be considered.

This is a one-year contractual appointment. Contractual appointments at the IMF are renewable for up to four years of cumulative contractual service, pending incumbent's performance, budget availability, and continuous business need.
