Reports to: President


Hours: 24 hours a week Monday, Wednesday, Friday 9:00 am – 5:00 pm 


Starting Pay: Starting pay is $20.00 per hour, with the potential for a higher rate based on relevant experience, qualifications, certifications, and demonstrated skills.


Office Support Specialist Job Description:  Your responsibilities as Office Support Specialist are pivotal. You'll be in charge of handling and coordinating all administrative tasks across the organization. Collaboration with different departments will be a key part of your job, helping to keep things running smoothly, improve processes, and create a productive workplace atmosphere. Your leadership and organizational abilities will ensure the administration department functions effectively and supports the organization's overarching goals.

Responsibilities and Expectations:

1. Greet all visitors entering the REACH Building in a pleasant and welcoming manner 

2. Answer calls to the REACH office pleasantly and politely

3. Assist visitors with their REACH business needs as required

4. Announce the visitor’s presence to the appropriate REACH employee

5. Complete understanding of the office phone system features and administrative tools, Initiate updates to the phone system as necessary and with periodical checks

6. Oversight of communal office spaces and reception area, ensuring all areas are neat and organized

7. Oversight of Tech room including supplies, in office printers, Copy machine maintenance

8. Supply chain facilitation

9. Perpetuate office confidentiality/HIPPA guidelines 

10. Communicate daily office attendance

11. Participate in the Fundraising committee and complete assigned needs and obligations

12. Schedule and plan, set up, and work all events. 

13. Reach website maintenance and posts

14. Maintain the process of internal ticketing system

15. Oversight of Management meeting minutes

16. Distribute mail and deliveries

17. Maintain all phone lists

18. Coordinate and communicate with department heads to understand their administrative needs and ensure timely delivery of services 

19. Assist in maintaining and update organizational policies

20. Process Monthly mileage sheets and monthly food stamps

21. Maintain current certifications and training session in Relias training platform

22. Assist in bulk mailings several times a year

23. Tasks assigned by the President

    


Requirements

  

1. Working or life experience with people living with developmental disabilities

2. Must be a high school graduate 

3. An Associate or some college-preferred 

4. Valid Driver's License 

5. Polished communication skills, both oral and written

6. Excellent computer skills are required/Microsoft Office suite, google calendar, Relias

7. Attention to detail

8. Ability to multitask throughout the day

9. Minimum 3+ years of office administrative/ management experience

10. Ability to learn new and interesting concepts and processes across multiple departments
