- This role is part of the Flight Administration team within the Integrated Operations Division and supports line pilots based in ORD. It provides high-quality administrative support under the direction of the Manager, Flight Administration.
- Partners with the Manager, Flight Administration to ensure efficient office operations, serves as a liaison with the Base Chief Pilot, and helps coordinate operational and administrative matters. Assumes responsibility for office productivity in the manager’s absence.
What you'll do
- Perform high-volume administrative work to meet deadlines, including expense report review, status updates, reimbursement processing, and more.
- Provide guidance to pilots on leaves of absence, FMLA, medical disability, military leave, and workers’ compensation
- Facilitate pilot retirements, including coordinating travel arrangements
- Monitor FICA, sick usage, and operational metrics
- Support leadership with special projects, research, and issue resolution
- Maintain confidentiality of communications and employee records
- Keep the Manager, Flight Administration informed of key issues to ensure alignment and avoid duplication
- Apply knowledge of policies, procedures, agreements, and budgeting
- Interpret union agreements and company/federal regulations
- Exercise sound judgment in completing administrative responsibilities and supporting the team
All you'll need for success
Minimum Qualifications- Education & Prior Job Experience
- High School diploma or GED
- 2 years of job-related experience
Preferred Qualifications- Education & Prior Job Experience
- Bachelor's Degree in related field
- Experience in Human Resources or a flight department supporting crew members
- Airline training or scheduling experience
- Customer service experience
- Familiarity with the American Airlines Pilot contract and FAA regulations
- SABRE proficiency
Skills, Licenses & Certifications
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Ability to quickly learn internal systems including SABRE (DECS/FOS), CCI, Concur, Pilot Dashboard, FDAG, SharePoint, AbsenceTracker, Employee Central, Coupa, Comply365, PBS, WorkBrain
- Enthusiastic, congenial, dedicated, servant leader orientation
- Strong attention to detail, organization, and follow-through
- Ability to prioritize and perform in a fast-paced, high-volume environment
- Strong analytical and problem-solving skills
- Professional interpersonal skills with the ability to work across all levels, including union representatives
- Ability to work well independently and collaboratively
- High level of self-discipline, motivation, and sound judgment
- Must fulfill FAA criminal background checks to qualify for unescorted access privileges to airport Security identification display areas (SIDA), if applicable
- Must be able to secure appropriate airport authority and/or US Customs security badges, if applicable
