COMPENSATION & BENEFITS

Expected Pay Rate: $21.50-$24 hourly

WORK ENVIRONMENT & SCHEDULE

This role is based on campus in a professional office environment within the Enrollment, Marketing and Communications (EMC) Department. The position is primarily sedentary, involves extensive computer and phone use, and requires regular interaction with applicants, students, and internal stakeholders. Standard business hours apply, with flexibility required during peak admissions cycles.


ABOUT THE ROLE

The Application Coordinator serves as a key member of the Admissions team within Enrollment Management. This role is responsible for overseeing the operational aspects of the admissions application process, ensuring accuracy, consistency, and compliance across applicant data, systems, and communications. The position supports university growth by managing applicant review, processing, acceptance, and enrollment workflows across multiple academic programs.

The Application Coordinator plays a critical role in shaping applicants’ first experience with Rocky Mountain University. By ensuring accurate data, clear communication, and efficient processing, this position directly impacts enrollment success, student satisfaction, and institutional integrity. The role also supports collaboration across departments to ensure a seamless transition from application to enrollment.


WHAT YOU WILL DO

Application Process 

  • Coordinate daily operations of the admissions application process for all programs, including newly developed programs 
  • Oversee all data entry that is necessary for tracking targeted applicant information is accurate
  • Maintain the accuracy and confidentiality of applicant files 
  • Ensure applicant and student information is consistent throughout the Student Information Systems (WebAdmit/CAS,CRM system) 
  • Review and audit applicant and enrollment data on a consistent basis to ensure accuracy 
  • Manage and extend acceptances and enrollments to all programs
  • Communicate and collaborate with other departments (ie. Registrar’s Office, Office of Student Engagement and Success, Financial Aid) as well as programs (ie. Nursing, Occupational Therapy) throughout the enrollment process related to reviewing applications, acceptances, enrollments, retention, etc. 
  • Receive and process applicant’s official transcripts and store them in compliance with the University Policy.

 

Communication with Applicants 

  • Conduct active communication with applicants, including updates through text, email, phone. 
  • Advise on every aspect of the enrollment process as well as provide information regarding the University.
  • Connect applicants with program representatives as applicable to best answer questions and/or concerns 
  • Answer questions and respond to concerns from applicants as well as enrolled students in a timely manner with positive and professional customer service. 


Other Duties:

  • Assist in all aspects of CRM implementation, training, ongoing updates/upgrades, and improvements. 
  • Within first year of employment, maintain expert-level understanding of CRM functions, specifically related to the application process (application start to matriculation). 
  • Review and update application standard operating procedures (SOPs) routinely to ensure accuracy. 
  • Assist with and understand data within the CRM, related but not limited the entire admissions process.
  • Assist with answering the ‘huntline’ (a general number for the University) and answering prospective student, applicant, and newly enrolled student’s questions. 
  • Coordinate packaging and mailing of university welcome packages.
  • Assists Enrollment Management team in various data retrieval projects.
  • Complete special projects as assigned. 

WHAT WE ARE LOOKING FOR (REQUIRED QUALIFICATIONS)

Education

  • Bachelor’s degree from an accredited institution preferred, or an equivalent combination of education and experience.

Experience

  • At least one year of experience with data management systems (Student Information Systems -SIS, Customer Relationship Management -CRM systems or similar)
  • Phone and email interactions and communications as well as customer service. 
  • Must be willing and able to learn multiple, new systems swiftly.

PREFERRED QUALIFICATIONS

  • Experience in higher education, admissions, enrollment management, or student services.
  • Prior experience supporting application-to-matriculation workflows.
  • Experience working in customer-facing or student-centered roles.
