As we continue to grow, we are looking for a reliable and organized team member to help manage scheduling and support our office operations.

Position Overview:

Skillful Steps ABA is seeking a Scheduling & Administrative Coordinator to join our in-office team. This role plays a key part in coordinating schedules between Registered Behavior Technicians (RBTs), BCBAs, and clients to ensure services run smoothly and efficiently.

This position is ideal for someone who is highly organized, proactive, and experienced with scheduling in a fast-paced environment.

Responsibilities:

  • Coordinate and manage daily schedules for RBTs and BCBAs

  • Schedule and adjust client therapy sessions

  • Communicate schedule changes with staff and families

  • Ensure proper coverage when staff call out or schedules change

  • Track staff availability and maintain scheduling records

  • Assist with general office administration

  • Maintain organized records and documentation

  • Support the clinical and administrative team with operational tasks

Required Qualifications:

  • Prior scheduling experience required (medical, healthcare, therapy, or service scheduling preferred)

  • Strong organizational and time management skills

  • Ability to manage multiple schedules and priorities simultaneously

  • Excellent communication skills (phone, email, and internal team communication)

  • Strong attention to detail

  • Comfortable working in a fast-paced environment

Preferred Qualifications:

  • Experience in ABA, behavioral health, or healthcare scheduling

  • Experience using CentralReach or similar scheduling software

  • Administrative or office coordinator experience
