Job Title: Infusion Strategic Scheduler

Reports To: Infusion Benefits and Authorization Manager

Supervision Exercised: None

Position Summary:

The Infusion Strategic Scheduler is responsible for managing incoming calls, scheduling infusion appointments, and assisting with infusion medical records and benefits coordination functions. This role works closely with the Infusion Benefits Coordinators and Medical Records team to ensure accurate documentation, efficient communication, and high-quality patient service. This is a full-time, office-based position in a fast-paced healthcare environment requiring strong organizational and communication skills.

Key Duties & Responsibilities:

  • Answer and manage inbound calls to the infusion department and any transferred calls from other departments
  • Schedule appointments for infusion services and other related services such as office visits, labs and DXA appointment
  • Collaborate with team members to manage high voicemail volumes and communicate needs via EPM, copying leadership when required
  • Take and relay messages from callers accurately to appropriate staff members
  • Escalate infusion order status inquiries to the assigned Infusion Benefits Coordinator via EHR, Teams, or EPM with high priority
  • Monitor, prioritize, and manage EHR tasks; respond or forward to appropriate personnel in a timely manner
  • Forward all clinical-related inquiries to the ordering physician via EHR
  • Check and manage department voicemail inbox regularly, ensuring timely message review and distribution
  • Monitor Phreesia Appointments Hub for ARISE cancellation requests and follow up accordingly
  • Confirm with patients prior to canceling or rescheduling appointments and follow same-day cancellation/no-show policies
  • Assist Infusion Medical Records with scanning, filing, and maintaining electronic patient charts
  • Support recall letter processes and records management tasks as needed
  • Help screen incoming faxes (electronic and physical) and ensure proper distribution
  • Verify duplicate records in EHR prior to filing new documentation
  • Assist Infusion Benefit Coordinators by requesting medical records from other provider offices via phone or fax
  • Forward non-infusion-related faxes to appropriate departments
  • Route insurance-related inquiries to the Infusion Benefit Coordinators
  • Maintain current knowledge of infusion drugs, pharmaceutical companies, and assistance programs
  • Ensure a clean, organized, and professional work environment
  • Perform other duties as assigned to support departmental and organizational goals.

Qualifications:

  • High School Diploma required; college degree or commensurate experience preferred.
  • Minimum of two (2) years of medical office experience as a receptionist preferred.
  • Computer proficiency required; experience with EHR/EPM systems and Microsoft Office (Word and Excel) preferred.
  • Basic knowledge of HIPAA regulations and patient confidentiality required.
  • Strong interpersonal and customer service skills with the ability to interact professionally with patients, physicians, staff, and vendors required.
  • Ability to communicate clearly and effectively, both verbally and in writing required.
  • Strong organizational skills with attention to detail and accuracy required.
  • Ability to multitask and work efficiently in a fast-paced, sometimes stressful environment is required.
  • Ability to establish and maintain effective working relationships with patients and staff required.

Working Conditions / Other:

  • Onsite position performed primarily in the administration office.
