About the job:
Kent is looking for a Summer Student – Document Control Assistant to support document control, records management, project administration, and drawing coordination activities for project and operational teams in Sarnia. This position is intended for a student or early-career individual seeking hands-on experience within an industrial and engineering environment.  The successful candidate will support project teams with organizing documentation, maintaining records, assisting with drawing management activities, and supporting document workflows in accordance with company and client standards. The role will provide exposure to project coordination, document management systems, and engineering support processes while working collaboratively with multidisciplinary teams.  The ideal candidate will bring strong organizational skills, attention to detail, a willingness to learn, and the ability to work effectively within a fast-paced project environment.

 

Skills and Responsibilities:

Responsibilities:

Document Control & Administration

• Assist with organizing, tracking, and maintaining project documentation and records

• Support document uploads, scanning, filing, and data entry activities within document management systems

• Maintain document registers, revision histories, and controlled document lists under supervision

• Assist with distributing engineering and project documentation to internal stakeholders

• Support the processing of incoming and outgoing project correspondence

• Assist site personnel with drawing searches and retrieval of historical records and documentation

Drawing & Records Coordination

• Assist with maintaining drawing files and document libraries

• Support drawing revisions and formatting activities under guidance from senior team members

• Help ensure project files and records are organized and up to date

• Assist with project closeout documentation and records collection activities

Systems & Reporting Support

• Support data entry and tracking activities within document control and records management systems

• Assist with maintaining logs, spreadsheets, reports, and tracking registers

• Monitor document status updates and support follow-up activities as assigned

• Assist with quality checks to ensure documentation follows formatting and naming standards

Project Support

• Provide administrative support to project and operations teams as required

• Assist with organizing project folders, documentation packages, and records cleanup activities

• Support coordination of documentation between internal teams and contractors

• Participate in continuous improvement and organizational initiatives within document control practices

Other Areas of Responsibility

• Maintain confidentiality of project and client documentation

• Perform additional administrative or project support tasks as assigned by supervisors or management

 

In addition to the responsibilities listed herein, the employee may be required to perform other ad-hoc tasks as needed or directed by the supervisor or management. These tasks will be within the reasonable scope of the employee's skills, capabilities, and role within the organization. The intent of this provision is to allow for flexibility and adaptability in meeting the dynamic needs of the organization, ensuring that operational requirements can be met efficiently. All such tasks will be assigned considering the employee's current workload and with respect to their professional development.

 

Your knowledge/skills, education, and experience:

Knowledge/Qualification/Training/Certification:

• Currently enrolled in or recently completed a post-secondary program in Business Administration, Office Administration, Engineering Technology, Information Management, or a related discipline

• Previous administrative, office, or summer student experience is considered an asset

• Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook

• Exposure to document management systems or engineering environments is considered an asset but not required

• Strong attention to detail and organizational skills

• Ability to manage multiple priorities in a fast-paced environment

 

Communication:

• Excellent command of the English language in both oral and written communication skills

• Ability to communicate clearly and professionally with internal teams and stakeholders

• Strong organizational and problem-solving skills

Compensation:
Hourly Rate: $20.00/hr CAD - $25.00/hr CAD

 

The hourly rate reflects the expected compensation for this role in accordance with Ontario pay transparency requirements and may vary based on skills, experience, and qualifications.
