Job Summary
We are seeking a detail-oriented IT Operations & Vendor Administrator to support day-to-day IT operations and assist with vendor coordination. This role serves as a key point of contact between internal teams, IT service providers, and vendors, helping manage contracts, track renewals, coordinate service requests, and support infrastructure and system initiatives. The ideal candidate has strong organizational skills, a working knowledge of IT systems and processes, and the ability to follow up on issues to ensure timely resolution and smooth service delivery across the organization.
Key Responsibilities
- Serve as a liaison between internal IT teams and external vendors, suppliers, and service providers
- Coordinate service delivery activities and day-to-day interactions between vendors and internal stakeholders
- Facilitate communication to support alignment on project tasks, timelines, and deliverables
- Assist in translating technical requirements into vendor scopes of work and relay vendor feedback to internal teams
- Track, escalate, and follow up on vendor-related issues to support timely resolution and business continuity
- Schedule and support regular service review meetings with vendors and internal teams, including documentation of action items
- Support vendor onboarding activities, maintain vendor records, and assist with performance tracking
- Maintain ongoing vendor communication and help resolve operational issues as they arise
- Assist in identifying opportunities for process improvements or cost efficiencies related to vendor services
- Support the contract lifecycle for IT-related agreements, including documentation, tracking, and renewals
- Monitor contract renewal dates and coordinate with stakeholders to ensure continuity of services
- Maintain a centralized contract repository with accurate tracking of key dates, obligations, and deliverables
- Ensure documentation aligns with organizational procurement and approval processes
- Assist with software licensing administration, including tracking licenses, renewals, and audits
- Provide administrative support for IT department operations and governance activities
- Coordinate IT procurement activities, including requisitions, purchase orders, and receipt of equipment
- Assist with IT equipment ordering, deployment coordination, and asset tracking
- Maintain IT-related documentation, records, and correspondence
- Support IT compliance, audit, and governance requirements as needed.
Required Qualifications
- Bachelor's degree in Information Technology, Business Administration, or related field, or equivalent work experience
- 5+ years of experience in IT operations, vendor management, or IT administration
- 3+ years of experience managing vendor relationships and contracts
- Proven track record of managing IT infrastructure projects
- Experience coordinating between technical teams and non-technical stakeholders
- Broad understanding of IT workplace services and infrastructure
- Knowledge of IT project lifecycles and implementation methodologies
- Experience with IT service management (ITSM) frameworks
