Provides administrative support to the Sales/Coaching and Leadership Development team working with our Mexico and US Hispanic Region.

  • Negotiating and booking meeting space including AV equipment needed for meetings in the US and Mexico according to regional event calendar
  • Assisting and coordinating the preparation and shipping of materials needed for US and MX meetings: signage, printed materials, etc. Works closely with other departments to ensure this takes place.
  • Processing reimbursement requests and ensuring that expenses are within approved budget
  • Work with recognition department to ensure that recognition at events takes place in an organized and timely manner
  • Work with finance and legal departments to process meeting room contracts and requisitions
  • Coordinate communication plan as described by National VP to promote meetings by:
    • Composing emails and text messages
    • Entering communications into database for scheduling
    • Ensuring the communication plan is followed by meeting with regional team
  • Maintain up to date MX and US Hispanic business center at melaleuca.com
  • Coordinates travel and lodging for the VP, Regional Director, Regional Managers as well as Marketing Executives when needed
  • Coordinate the recording and production of audiovisual materials for Hispanic and MX region
  • Assist National VP with the preparation of reports and research as needed
  • Receives visitors, screens phone calls and correspondence
  • Keeps calendars, coordinates schedules and appointments for National VP
  • Establishes and maintains office files
  • Operates a variety of office machines (i.e., computer, fax machine, photocopier, etc.)
  • Works with hotels and convention centers to locate and book meeting space in cities across the US and Canada
  • Sends the appropriate approval documentation through for requisitions, check requests, and hotel contracts
  • Follow through to make sure that the meetings booked are a success
  • Promotes monthly meetings and conferences through the Al Dìa magazine, emails, and website
  • Coordinates monthly conference calls
  • Bilingual in Spanish and English, must be able to communicate in Spanish fluently – written and verbally
  • Detailed work and organizational skills
  • Ability to work under stress and multitask
  • Strong computer skills, knowledge in Word, Excel & PowerPoint
  • Excellent written and verbal communication with people in person and by phone
  • Strong customer relation skills for conflict situations
  • Previous administrative and meeting industry knowledge helpful
  • Typing 60 wpm, 10-Key by touch
  • Ability to maintain confidentiality in sensitive areas
  • Ability to work independently and follow through on projects
  • Ability to prioritize and organize
  • Creativity to assist with the design publications
  • Ability to perform the essential duties and responsibilities with efficiency and accuracy
  • Passed BD Panel preferred but not necessary
