Assistant to the Inside Sales Manager – Condensed Job Description

Position: Assistant to the Inside Sales Manager
Department: Sales
Status: Exempt
Reports To: Inside Sales Manager
Date: 2025

Position Overview

This role supports the Inside Sales Manager and the Inside Sales Group (ISG) while preparing to transition into the Inside Sales Manager position through a structured succession plan. The Assistant helps coordinate customer requests, internal processes, and cross-department communication (Engineering, Production, Accounting, Service, Parts, etc.). Strong Excel skills and proficiency with multiple software platforms are essential.

Success in this role is measured by leadership growth, process mastery, and the ability to manage tasks independently.

Essential Responsibilities

Pre-Sale

  • Gather RFQ documentation      and coordinate with Outside Sales.
  • Work with FA/FI/TA/TS and      third-party suppliers on pricing and purchase orders (See Legend).
  • Collect quote data from      internal departments and organize all supporting materials.
  • Prepare and finalize      customer quotes for Fosber product lines.
  • Create preliminary machine      specification documents and answer customer technical questions.
  • Coordinate with Production      on machine timing and priorities.
  • Assist in reviewing      customer Master Purchasing Agreements.

Post-Sale

  • Launch new projects and      review customer purchase orders and final specifications.
  • Create purchase orders in      TCM (ERP) and complete FI machine order configurators.
  • Develop final machine specification      documents and internal project checklists.
  • Coordinate delivery dates      with Installations, Production, and Logistics.
  • Schedule and lead order-entry/kickoff      meetings.

Master Purchasing Agreements

  • Support the review of      customer MPAs with Inside Sales Manager and Legal.
    • Evaluate technical       specifications to ensure alignment with FA capabilities and services.


Requirements

 Skills & Abilities

  • Strong organization,      multitasking, and attention to detail
  • Proficiency in Excel      (primary tool), plus Word, PowerPoint, SharePoint, Access, TCM,      Salesforce, and other software platforms.
  • Ability to interpret quote      requests, manage priorities across sales regions, and work with customer      purchasing, engineering, and facility teams.
  • Continuous improvement      mindset and awareness of cross-department impacts.
  • Developing leadership      skills for future management responsibilities.

Education & Experience

  • Associate or Bachelor’s      degree in a related field.
  • 3–5+ years of relevant      experience.
