Job Description

Job Summary:

This role serves as the lead of the operational support team for At-Large Policy Support working under the guidance of the Manager of Policy Development Support and At-Large Regional Affairs. You will lead a dedicated team in providing administrative, project management, and procedural guidance to the At-Large community (including the ALAC, RALOs, and individual Internet user representatives). Key responsibilities include ensuring the on-time delivery of operational projects, ensuring streamlined and efficient operations that facilitate effective community collaboration, and advising senior management on communication tools and workflow improvements.

Key Responsibilities & Duties:

 

      Team lead capacity - provide overall direction for the ALAC/At-Large operations team, in collaboration with the At-Large Policy Development Support function, overseeing day-to-day operations and fostering a culture of continuous internal improvement.

      Leadership Support - Serve as the key operational resource for the At-Large Community, consisting of the At-Large Advisory Committee (ALAC), the Regional At-Large Organizations (RALOs) and members.

      Operational Management - Oversee meeting scheduling and support, voting, working group administration and member management to ensure seamless community engagement.

      Technical Facilitation - Manage global teleconferences, including liaising with the technical and language services teams.

      Project Oversight - Execute ad-hoc internal and community-led projects, driving initiatives from conception to implementation.

      Training - Design and deliver comprehensive training on communication tools (Zoom, Wiki, Website platforms) for new hires.

      Cross-Functional Collaboration - Strengthen relationships with other SOAC operational support teams and other Organizational operational teams to streamline operational processes to improve the volunteer user experience with ICANN and enhance service delivery.

Required Knowledge, Skills, and Abilities (KSAs): (Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions)

      Technical Proficiency - Advanced knowledge of Microsoft Office Suite and Google Workspace Productivity Suite Adobe as well as Customer Relationship Management (CRM).

      Project Management and Organization - Proven ability to manage complex projects, prioritize tasks, and meet deadlines in a high-pressure, fast-paced environment.

      Analysis and Problem-Solving - Demonstrated capability to create tailored, strategic solutions related to operational issues.

      Stakeholder Relations and Communication - Exceptional verbal and written English communication skills; multilingual proficiency strongly preferred. Capable of working with diverse, global teams, and internet policymakers of diverse backgrounds, cultures, and skills-sets. 

      Facilitation and Public Speaking - Experienced in coordinating in-person, hybrid, and virtual meetings on policy issues. Strong public speaking skills for conferences and high-visibility webinars.

      Professionalism - Strong commitment to confidentiality, discretion, and accuracy. Experience in working independently with a highly diverse workforce.

 

Education and Experience Requirements:

      Bachelor's Degree required, preferably in a relevant field of study.

      Minimum of 5 years of experience with a Bachelor’s Degree or 2 years of experience 
with a Master’s Degree.

      Minimum four years of progressive work experience in management of operations support.

      Prior experience working for an international organization, strongly preferred.

Languages:

      Fluency, both written and spoken, in English is required.

      Fluent written and spoken language skills in any of the other official United Nations languages 
is required/preferred.

      ICANN is a global organization that values diversity; preference will be given to candidates

Working Conditions & Physical Requirements:

      International travel may be required to support ICANN related meetings as requested for 
lengths of 7-10 days for each trip, approximately three times per year, likely on different 
continents.

      Comfort level with an international work environment that requires availability at times 
outside normal business hours.

      While performing the duties of this job, the employee is frequently required to stand and
walk. The employee regularly is required to sit. The employee is frequently required to talk
or hear; use hands and arms to reach, handle or feel. Specific vision abilities required by
this job includes close vision, color vision, and ability to adjust focus.

      The employee may occasionally lift and/or move up to 25 pounds.
