Job Summary:
The Contracts and Compliance Admin provides administrative support across multiple areas, including licensing, contracts, insurance, travel, housing, fleet, document control, and reception.
Duties/Responsibilities:
- Manage company and employee licensing processes, including renewals, tracking, and regulatory updates.
- Submit license applications and maintain communication with state and local licensing agencies.
- Oversee document control by updating existing forms and templates to match company standards.
- Process and format new internal documents to ensure consistency and usability across departments.
- Independently coordinate travel arrangements, including flights, lodging, and vehicle rentals.
- Maintain long-term housing records and assist with travel-related communication and problem-solving.
- Track and manage certificates of insurance (COIs) for vendors and subcontractors.
- Assist with OCIP enrollment and support annual insurance documentation reviews.
- Provide general support to the Senior Admin on overflow tasks and special administrative projects.
- Provide coverage for reception, including phones, visitor check-in, office clean-up and mail handling.
- Other duties may be assigned
Qualifications/Experience:
- Must be at least 18 years of age.
- Some prior office or administrative experience preferred.
- Strong written communication skills, including email drafting and document formatting.
- Basic proficiency in Microsoft Office Suite (Word, Excel, Outlook), Adobe, and Bluebeam.
- Ability to manage time effectively and work independently with minimal supervision.
- Detail-oriented with strong organizational skills for handling licensing, travel, and document tasks.
- Comfortable working with confidential information and maintaining professional discretion.
- Willingness to learn internal systems and processes related to compliance and insurance.
- Able to handle multiple responsibilities and shift priorities in a dynamic office environment.
- Positive attitude and collaborative approach when supporting team members and reception needs.
- Basic Proficiency in English required. Candidates must have a basic understanding of English for safety purposes and to effectively communicate with colleagues, vendors, and contractors on-site. The ability to follow instructions and engage with the team is essential for success in this role.
