Fleet Support Specialist

Salary Range: TBD 

Work Schedule:

  • Time Range: Between 7 AM and 7 PM CST

  • Working Hours: 9 hours per day (8 working hours + 1-hour break)

  • Days Off: TBD (2 days per week)

  • Must be willing to work on a rotating weekend schedule

  • Exact weekend frequency is TBD; flexibility and availability on weekends are required for this role

We're looking for a highly organized, detail-driven Fleet Support Specialist to manage the maintenance, compliance, and day-to-day operations of our client's vehicle fleet. You'll be the central point of communication between instructors and management, ensuring every vehicle is safe, documented, and road-ready.


This is primarily an administrative role. You don't need to be a mechanic or a vehicle expert, but a general understanding of how cars work, and personal driving experience, will go a long way in helping you succeed here.


Core Responsibilities

Fleet Coordination and Maintenance

  • Conduct and review monthly vehicle checks, track all maintenance, repairs, and recurring issues

  • Serve as the first point of contact for instructors with vehicle concerns, use general car knowledge and resourcefulness to coordinate responses, and escalate safety or mechanical issues to management when needed

Administrative and Compliance Management

  • Prepare and manage collision, incident, and insurance reports

  • Maintain a meticulous digital filing system for all fleet records, registrations, inspections, and compliance documentation, ensuring 100% accuracy at all times

Procurement and Vendor Research

  • Research, source, and order parts, equipment, and supplies via Amazon or specialized vendors

  • Evaluate vendors and local solutions to support efficient fleet operations


Candidate Qualifications

Must-Haves

  • Strong administrative background, with experience in operations, logistics, or administrative support

  • Exceptional organizational skills and attention to detail, comfortable managing spreadsheets, documents, and multiple deadlines using Google Workspace or Microsoft 365

  • General understanding of how vehicles work, driving experience, and personal vehicle ownership are a strong plus, but deep mechanical knowledge is not required

  • Excellent written and verbal communication skills, able to relay vehicle-related updates clearly to both instructors and management

  • Willing and available to work on a rotating weekend schedule as needed

  • Background in fleet management, vehicle coordination, or a driving school environment
