The City of Topeka�s Probation office is seeking an organized and detail-oriented professional to join its team as its Office Specialist. This position provides complex administrative support to probation staff and plays a key role in managing the day-to-day operations of the office. Responsibilities include managing communication, maintaining records, assisting with scheduling, and providing excellent customer service in a fast-paced and occasionally stressful environment.

What you�ll do:

  • Manage incoming calls, emails, and correspondence for the office.
  • Maintain accurate and complete probation records and case files.
  • Conduct research, verify compliance and provide reports as requested.
  • Provide efficient and pleasant customer service to clients, members of the public, and colleagues.

The ideal candidate:

  • Is highly organized with the ability to manage multiple projects and deadlines.
  • Has the ability to remain calm and maintain a professional demeanor in difficult situations.
  • Is customer-focused with excellent interpersonal and communication skills.
  • Has the ability to multitask while maintaining a high level of accuracy.

Minimum Qualifications

  • High School Diploma or its equivalent is required.
  • Associate�s degree in office management, office technology or a related field is preferred.
  • Two years of clerical experience is required. One year of supervisory experience is preferred.
  • Must be able to pass an extensive background check and must not be registered on the Kansas child or adult abuse registry.

Minimum Entry Rate of Pay: $20.97 per hour
